DIMENSIONS OF THE ROLE

Project Assistant contributes to project start-up, project activity monitoring, partnership monitoring for multiple projects.

This position is entry-level into an INGO organization and will provide a good opportunity to better familiarize themselves with working within an international organization, whilst providing critical support services to the Project Manager and the Head of Mission.

Accountabilities

Under the supervision of Project Manager, the Project Assistant will perform the below main activities:

  • Support partner implementation monitoring of project activities
  • Data collection, management and analysis of project information as stipulated in project documents, including the production of any forms and surveys.
  • Monitoring of project activities, and working on producing high quality project reporting that is timely and in compliance with donor regulations.
  • Ensure that Plan’s child protection and safeguarding policy is respected, and all cases of abuse are reported.
  • Support coordination of project implementation,
  • Support implementation of projects according to Plan’s project cycle procedures and standards
  • Provide ad-hoc support to the Programs team to help organising meetings, training events and partner visits
  • Provide translation support to contextualise Plan International’s manuals, templates and guidance notes as deemed needed
  • Preparation of official letters and communications to partners and government authorities
  • Data management and organisation of Plan International’s documents on MS Teams channel
  • Provide support during field visits including organising trip route and itinerary for visiting delegations, particularly from National Offices.
  • Providing Information Management support on reporting

Key relationships

Head of Mission, Project Manager, PQIM, Technical Specialists, and support staff (Finance and logistics); Local project implementing partners; Response Hub relevant teams.

Technical expertise, skills and knowledge

Essential Knowledge

  • University degree in relevant field
  • Good knowledge and understanding of humanitarian principles and established
  • Experience of implementing projects in education, SRHR, child protection, cash and voucher assistance, gender and participatory approach will be an asset

Essential Skills

  • Strong strategic decision-making and communication skills including reporting and presentation
  • Excellent written and verbal communication skills in English, Ukrainian and/or Russian;
  • Demonstrated ability of teamwork, coordination, and planning
  • Knowledge of usual office software (e.g., Word, Excel, PowerPoint) and regular
    communication channels (Teams, email, Skype).
