Under the direct supervision of the Programme Manager and the overall guidance of the Director of DACAB, the incumbent will: – Provide assistance to the organization of events / activities of the Consultative Committee (CC); – Maintain the CC dedicated webpage and provide the Communications team with the relevant content on the CC developments, write and edit the content, make announcements about the new members joining the CC, announce the upcoming meetings, etc.; – Assist in creation of the CC Manual and contribute to the updates in the CC Rules of Procedure (RoP) in conjunction with the Programme Manager and the Strategy team.
– Participate in the planning, implementation and reporting of the UPU Partnerships and Communications Programme to the POC / CA plenary sessions. – Ensure that the CC members’ requests are responded to in a timely fashion. – Supervise the back-office work of the G4 assistants and the interns in the absence of the Programme Manager. 1. Organization of events for the Consultative Committee – Provide assistance in preparation of the UPU Consultative Committee (CC) events (e.g.
receptions sponsored by the CC members, webinars and training sessions for chapter rapporteurs / Committee Secretaries, etc.); – In conjunction with the Programme Manager and Communications team, participate in the planning and coordination of external events of interest for the UPU CC (e.g. conferences and forums, international exhibitions, postal unions’ workshops and other field or partner visits), participate in regular meetings with the Communications teams and CC Chair / CC Vice-Chair to discuss the planned activities; – Assist the Communications team in creating content and materials (e.g.
brochures, flyers, posters, factsheets, newsletters, video clips, etc.) that directly support the Consultative Committee development efforts. Ensuring all content adheres to the CC RoP guidelines and the CC development strategy; – Attend the CC-related events and missions upon request; – Together with the Programme Assistant, follow up and ensure that the CC members’ requests are responded to in a timely fashion. 2. Maintenance of the Consultative Committee dedicated webpage – Draft, edit and have the UPU CC webpage content translated in a timely manner on regular basis.
Ensure that the web content is consistent and accurate. Monitor feedbacks from the stakeholders on the publications and respond accordingly; – Work closely with the Communications team and the Web Administrator on suggesting improvement of the UPU CC webpage structure and design and ensuring that the CC webpage publications are in line with the requirements of the programme and linked to the publications on the UPU home page; – Follow up on the CC developments and regularly provide the Communications team with the relevant content to be featured on social media channels in accordance with the CC strategy;¨ – Ensure that CC members and Chair comply with the rules of the UPU in terms of UPU branding.
– Under the guidance of the supervisor, draft the texts for publications, plan and post relevant and engaging information and content, in line with the institutional internal communication priorities and the CC policy. 3. Assistance in creation and implementation of the CC manual – Develop and adapt a set of instructions / internal procedures and draft preliminary recommendations aimed at facilitation of understanding of the internal rules for the CC members; – Assist in creation of the Consultative Committee manual in line with the strategy on partnership with external stakeholders and in accordance with the CC RoP; – Contribute to the development of a new strategy and methodology of the Consultative Committee after the CC transformation on 1 July 2022; – Identify any corrective measures to be taken / amendments to be made to the CC RoP with a view to achieving the consistency with the CC strategic objectives; – Carry out specific research upon request.
4. Reporting to the POC / CA and CC meetings – Facilitate the work of CC Thematic Chapter Rapporteurs by ensuring their liaison with POC/CA standing working groups through the management of the CC workspace – Analyse the CC activities and provide inputs in developing PowerPoint presentations for the regular POC / CA / CC meetings; – Submit the data on the CC activities to the Programme Manager / CC Chair / CC Vice-Chair upon request.
5. CC Activities / Back office work – Pursue back office activities (e.g. matchmaking with DOs) of the CC and update designated operators and other wider postal sector actors interested in CC activities accordingly (e.g. CC projects-related correspondence, etc.); – Ensure that Standard Operating Procedures (SOPs) of the CC are updated on a regular basis by and for Interns; – Ensure that the G4 assistants provide support both to the programme and to the Programme Manager while on missions 6.
Perform other related duties as assigned including replacing or backstopping others when necessary.

1. First level university degree (Bachelor’s degree or equivalent) in International Relations, Political Science, Business Administration, Communications or a similar field is mandatory.
2. Advanced level university degree is an asset.
Knowledge of relevant computer systems and applications is required. Excellent understanding of and knowledge of software such as, but not limited to, Microsoft Office (especially Word, Excel, etc.), advanced PowerPoint instruments, etc. are required. Excellent knowledge of Web Content Management software is required. Very good document writing skills is required. Knowledge of internal UPU formatting standards and internal procedures is desirable. Good knowledge of and interest in private-public partnership topics, current economic and socio-political events and developments are required.
Knowledge of functioning of international organizations belonging to the UN system or similar is required. General understanding of the principles of work of the UPU Consultative Committee is desirable.
