Under the general supervision of Operations officer, the incumbent performs administrative support functions, such as personnel, finance, registry, supply and transportation, as indicated by the requirements and structure of the organization.
The Supply & Admnistrative Associate, GS6 will perform the following functions:
Summary of key functions/accountabilities:
Performs administrative and personnel work, including processing of entitlements and maintenance of various personnel records and files. Briefs international personnel on general administrative matters relating to visas, licenses, security; provides advice and ensures administrative support, as required. In addition to general administration responsibilities, supervises directly or indirectly, activities concerned with office and grounds maintenance, security, transport and similar services
Identifies and recommends potential local suppliers. Maintains data on local supply sources’ overall performance, (competitive pricing, product quality and timely delivery). Advises and assists other staff in the area of office management. Undertakes field visits to project sites and monitor inventory and supply inputs.
Arranges for and/or attends meetings on day-to-day administrative matters; participates in discussions of new or revised procedures and practices; interprets and assesses the impact of changes; and makes recommendations for follow-up actions
Assists in the preparation of office budgets applicable to staff and servicing costs, and maintains necessary budgetary control records
Requisitions office supplies and equipment locally and arranges for control of distribution and maintenance of appropriate inventory records
Prepares, on own initiative, correspondence, reports, evaluations and justifications, as required, on general administrative or specialized tasks which may be of a confidential nature within the assigned area of responsibility.
Performs other duties, as required.

1. Academic qualifications
Completion of secondary education, preferably supplemented by technical or university courses related to the work of the organization
2. Professional experience
Six (6) years of progressively responsible clerical and administrative work
3. Language(s)
Fluency in French and working knowledge of English required. Knowledge of at least one language of the duty station highly desirable.
