JOB DESCRIPTION

Responsibilities
– Manages the agency’s archiving unit; provides guidance on archiving related issues and ensures accessibility to archived information/data/documents, as necessary; guides clients through the archiving process. – Designs, implements and facilitates the digitalization of all organizational archives; advises on the digitalization of historical documents; in coordination with relevant departments and personnel, establishes parameters for the retention and destruction of records. – Produces standard operating procedures on information governance for digital and physical material; develops guidance and best practices on information and records and archives management; advises Head of Refugee Registration and Eligibility on best practices and standards concerning the preservation of organizational and other historical archives.
– Oversees the scanning and digitalization of physical files; supervises the proper maintenance of records; ensures correspondence and documents are correctly filed and maintains a follow up system; coordinates archival description tasks, creation of finding aids and manages the inventory. – Drafts and disseminates relevant reports and correspondence for internal planning and external communication purposes. – Supports capacity building across the agency on information management, knowledge transfer and institutional memory usage. – Works with external stakeholders for research purposes, including the exchange of information regarding current practices and how to improve the agency’s archiving systems. – Performs other duties as may be assigned by the supervisor.

Education
– A university degree from an accredited educational institution in archival science, archives and records management, information management or a related field.
Work Experience
At least six years of progressively responsible relevant experience in archives and records management in a large organization that deals with both sensitive and non-sensitive materials is required . A university degree from an accredited educational institution in archival science, archives and records management, information management or a related field is required . Experience with digital archives and familiarity with archival metadata standards. is required . Sound knowledge of Digital Preservation theory and practice is required . Sound operational knowledge and experience of office automation and electronic records management is required . Knowledge of and exposure to UNRWA’s Mandate, its principles, and policies towards Palestine refugees is desirable . Excellent command of English is required .
