JOB DESCRIPTION

Responsibilities
Under the supervision of the Human Resources Officer, the incumbent: – Processes index number requests in Umoja, issues work attestations, and other HR service requests. – Processes HR service requests received in iNeed and attempts to resolve requests on initial contact or direct request to appropriate office – Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.}, and as necessary, refers inquiries to appropriate personnel for handling – Escalates cases to the appropriate second and third level support, in accordance with established procedures.
– Contributes to the development of desk procedures and standard operating procedures for the work of the HR Front Office. – Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant requirements. – Generates a variety of standard statistical and other reports, work orders, etc., using various databases. – Assists in the preparation of presentation materials using appropriate technology/software. – Keep abreast of Organizational rules, regulations and HR enterprise applications. – Assists with the organization of ceremonies, awards, and HR events;Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. – Assists with visualizations and updating information material such as web pages or brochures.

Education
High school diploma or equivalent is required.
Work Experience
A minimum of three (3) years of experience working in an administrative or general office support, or related area is required. The minimum years of relevant experience is reduced to one (1) for candidates who possess a first-level university degree or higher. Experience working in the United Nations Common System or similar international organization is desirable. Experience working in human resources for a minimum of two (2) years is desirable. Experience working in a human resources help desk or service desk for a minimum of one (1) year is desirable. Experience working with enterprise resource planning systems and customer relationship management systems (i.e. IMIS, Umoja, iNeed, or similar) is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For this position, fluency in English and French is required. Knowledge of another UN official language is desirable.
