JOB DESCRIPTION

Responsibilities
Human Resources Management: • Initiates, reviews, processes and follows-up on actions in conjunction with the Branch HR focal point administration of the unit’s human resource activities, e.g., recruitment of staff and consultants, training etc., ensuring consistency in the application of UN rules and procedures. • Responds to enquiries and provides information and advice to staff regarding administrative procedures, processes and practices, • Maintains the unit’s staffing table and prepare relevant statistical data. • Process consultancies and payments for consultants General Administration: • Drafts routine correspondence to respond to enquiries in respect to relevant administrative matters. • Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field.
• Performs other related administrative duties, as required (e.g., travel, organizing and coordinating seminars, conferences and translations). • Processes the payment of contractors’ invoices and monitor payments. • Assist in the development and maintenance of various databases, including database of focal points and lists of participants. • Prepare agenda and reports of stakeholders’ meetings • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Performs other related administrative duties, as required.

Education
High school diploma or equivalent is required.
Job – Specific Qualification
Relevant training in business administration, project management or related field is desirable.
Work Experience
A minimum of seven years progressively responsible experience with project management is required. The minimum no. of years of relevant experience is reduced by two (2) years for candidates who possess a first-level university degree. Experience in Administration and project management is required. Experience with Enterprise Resource Planning (ERP) software such as Umoja, Inspira or similar is required. Experience providing guidance to staff on administrative rules and regulations is desirable. Administration experience in organizing large-scale conferences is desirable. One (1) year or more of experience in data analytics or related area is desirable
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required; Knowledge of French is desirable. NOTE: “Fluency equals a rating of “fluent” in all four areas (read, write, speak, understand) and “Knowledge of’ equals a rating of “confident” in two of the four areas.
