JOB DESCRIPTION

Result of Service
• Compliance audit results of whole SCM vendor master data • Update of VRC and Sanction SOPs • Timeliness and accuracy of reporting. • Training and Stakeholder satisfaction with vendor services.

Duties and Responsibilities
Compliance and Risk Management: • Contribute to the review and assessment of processes and policies to ensure all vendor activities comply with Agency policies, industry regulations, and legal requirements, and find technical solutions to facilitate workflow and operations. • • Conduct regular Checks and Audit and assessments of vendor compliance, prepare periodic reports and, ensure compliance with polices and SOPs. • Identify and mitigate risks associated with vendors relationships, conflict of interests, sanction lists ,and performance. • Monitors accuracy of data available in information systems (ERP, Vetting tools and platform, UNGM, etc.). Reports any issues on information systems integrity and confidentiality of sensitive information and proposes corrective plans as necessary to make sure data are accurate and updated. Reviews and updates Vetting lists, Business Partners profiles, etc. Reviews requests for access to information systems; • Contribute in biennial screening and review of alerts, vetting of all SCM vendors in line with the 2017 Neutrality Framework, the agency conducts bi-Annual screenings of all associated vendors against the UN Security Council Consolidated Sanctions. • Follow up with the vendor Management Unit stakeholders on the compliance results and provide support to undertake internal reviews, identify abnormalities and areas of risk. Conducts analysis, identifies trends, proposes and monitors performance indicators; • Participates in the production of training programs in the area of Vendor Managment; analyses results and identifies skill gaps and training needs including best practices. Provides support to establish generic or specific terms of reference and evaluation criteria; Data Management and Reporting: • Maintain accurate records of vendor activities, performance, and compliance. • Following the guidance and instruction of unit supervisor, generate regular reports on vendor performance and compliance status and met deadlines. • Prepares critical statistical reports for activities related to Vendor Managment Unit. Provides guidance to staff in Headquarters and Field Offices to search and retrieve statistical data from information systems. Prepares research, analysis, reports, and surveys as transversal support to other sections to facilitate strategic decisions to be taken; Communication and Collaboration: • Coordinate with internal stakeholders to understand business needs and align vendor services accordingly. • In Coordination with unit supervisor, follow up with procurement teams and concerned parties (finance, legal..etc) to ensure consistent vendor management processes. • In consultation with unit supervisor, communicate vendor-related policies and procedures to relevant stakeholders.
Qualifications/special skills
Qualifications and Skills: • Education: Bachelor’s degree in Business Administration, Supply Chain Management, Law, or a related field. • Experience: Minimum of 5 years of experience in vendor management, compliance, or a related field. Skills: • Strong communication skills. • Excellent analytical and problem-solving ablities. • Proficiency in contract management and compliance software/tools. • Ability to work independently and as part of a team. Strong expertise in vendor management and ensuring compliance with regulatory standards. Extensive experience in analyzing large datasets to derive actionable insights and support data-driven decision-making. Proven experience in developing, implementing, and reviewing policies and Standard Operating Procedures (SOPs) to ensure compliance and operational efficiency. Expereicne with SAP and analytical software is desirable Proven experience in developing, implementing, and reviewing policies and Standard Operating Procedures (SOPs) to ensure compliance and operational efficiency. Extensive experience in analyzing large datasets to derive actionable insights and support data-driven decision-making. CIPS level III is desirable
