JOB DESCRIPTION

Result of Service
All proposals for cultural events are brought to the attention of the Director of the Library & Archives/CAC Chair and an initial meeting between the CAC Chair and the requesting entity is held systematically. The Cultural Activities Programme email inbox is regularly monitored, and messages are handled in a timely manner. CAC meetings are scheduled monthly. Actionable proposals are processed smoothly and efficiently. Documentation is prepared and available in advance of the CAC meetings. The Committee Chair and members have access to complete documentation on each proposal. Improved workflow following each Committee meeting. Correspondence and documents for the Office of the Director-General are prepared and submitted according to established practice. All files, documents and calendars concerning cultural events are structured and maintained. Event statistics for evaluation and monitoring is maintained and reports prepared.

Duties and Responsibilities
The following functions are required: • Ensure all incoming requests for cultural events are communicated to the Office of the Director of the Library & Archives and arrange the initial appointment between the CAC Chair and the requesting entity. • Assist the Office of the Director and liaise with the Cultural Activities Coordinator to ensure proposals submitted by permanent missions and IOs are efficiently prepared and complete within timelines for review by the Committee at their monthly meeting. • Schedule CAC meetings, prepare and circulate relevant documentation in advance. Assist with follow-up actions on CAC decisions and recommendations. • Maintain the CAP email account, the internal events calendar, and draft correspondence, respond to incoming queries, prepare a monthly events list for the Office of the Director-General. • Prepare event summaries, ensure UNOG speakers and master of ceremony are scheduled to attend and have the relevant information. • Structure and maintain records and files. • Maintain statistics on events for evaluation and monitoring. Prepare reports as required. • Perform other event-related tasks as required, including assistance with other types of events or visits to the Library & Archives.
Qualifications/special skills
A first level degree in international relations, business administration, or related area is required. At least one year’s experience working in event management and administration is required. A good knowledge of standard software applications, especially MS Suite, is required. Experience working in at the United Nations or other international organization is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. Fluency in English is required for the position and a knowledge of French is desirable. Knowledge of an additional official UN language is an advantage. Arabic, Chinese, English, French, Russian and Spanish are the official languages of the United Nations Secretariat.
