JOB DESCRIPTION

The UN Volunteer will assist the entire office in staff and personnel transport, distribution of mails and reports, regular collection of letters from the post office and UN mailbox, vehicle small maintenance, etc…

Under the direct supervision of the Administrative Associate, the UNV/Driver undertake the following tasks:

•Transport authorized staff and personnel.
•Deliver and collect mail and documents; and perform other messenger responsibilities.
•Meet official personnel and visitors at the airport and assist with visa and customs formalities arrangement when required.
•Maintain accurate daily vehicle logs.
•Provide inputs to preparation of the vehicle maintenance plans and reports.
•Make timely minor repairs and/or arrange for major repairs.
•Ensure timely changes of oil, check of tires, brakes, car washing, etc.
•Keep current in vehicle documents such as vehicle insurance, vehicle logs, office directory, and map of the city/country.
•Ensure vehicle first aid kit is adequately stocked with standard medical supplies.
•Additional duties may include assisting with pouch, procurement, workshops, and other administrative tasks.

Furthermore, UN Volunteers are required to:
•Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for in-stance in events that mark International Volunteer Day);
•Be acquainted with and build on traditional and/or local forms of volunteerism in the host country.
•Reflect on the type and quality of voluntary action that they are undertaking, including participation in ongoing reflection activities.
•Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.
•Assist with the UNV Buddy Programme for newly arrived UN Volunteers.
•Promote or advise local groups in the use of online volunteering or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

Driving
•Proven experience and knowledge of driving regulations, rules and laws as well as skills in minor vehicle repair and maintenance is desired.
•Experience in the basic use of computers and relevant office software packages (MS Word, Excel, etc.) and ability to use web-based management and electronic log, file and/or scheduling systems is an asset.
•Fluency in English and national language of the duty station is required for local staff (Kinyarwanda and/or Kiswahili)
•Knowledge of policy & procedures on fleet management
•Ability to collect, register, maintain and deliver mail and UNDP pouch; ability to manage archives
•Ability to communicate in a clear, concise, and unambiguous manner both through written and verbal communication; to tailor messages and choose communication methods depending on the audience.
•Ability to manage communications internally and externally, through media, social media and other appropriate channels
•Knowledge and understanding of the UN Staff Regulations and Rules and other policies relating to ethics and integrity.
•Ability to respond timely and appropriately with a sense of urgency, provide consistent solutions, and deliver timely and quality results and/or solutions to fulfil and understand the real customers’ needs.

Kigali, the capital of Rwanda, has experienced remarkable rejuvenation and stability, evident upon arrival in the city. While motorcycle taxis are the fastest mode of transport, they’re not recommended without your own helmet, though some provide helmets. Standard taxis, marked with yellow stripes, are another option, with many operated by Kigali Taxi Service or Kigali Airport Taxis. Accommodations in Kigali are readily available and meet relevant standards, with recreational facilities like swimming pools also accessible. Shopping options include various shops and markets offering essential items, imported goods, home furnishings, electrical appliances, and vehicle spare parts. The city boasts both public and private health facilities, such as King Faisal Hospital and Legacy Clinic, equipped to handle emergencies and affiliated with CIGNA insurance. Kigali is considered exceptionally safe, with emergency numbers like 999 for police, 111 for fire fighters, and 112 for general emergencies, and 113 for traffic accidents.

For volunteers, the UNV Programme offers monthly living allowance covering basic needs like housing, utilities, transportation, and communication. The purpose of the allowances and entitlements paid to UN Volunteers is to enable UN Volunteers to sustain a secure standard of living at the duty stations in line with United Nations standards without incurring personal costs. The allowances are in no way to be understood as compensation, reward, or salary in exchange for the UN Volunteer’s service.
