JOB DESCRIPTION

Duty Station: Yangon

Report to: Human Resources and Administration Manager

Direct Reports: No direct report but supervisor for Assistant and Cleaners

Overall purpose of the role:

  • Oversee all aspects of administrative support at the DRC office, ensuring efficient operations and procedures.
  • Implementation of administrative policies at the office.
  • Develop systems that contribute to improving the efficiency and cost-effectiveness of administrative operations.

Responsibilities:

  • Handling of domestic and international travel including hotel accommodation and flight tickets.
  • Acting as the focal person for the staff onboarding and relocation at the mission start/end.
  • Updating and sending the welcome pack to the new expatriates
  • Coordinate with the relevant embassies for visa process for DRC staff as required.
  • Sharing and exchanging internal information with the field admin focal persons, government liaison persons and area managers.
  • Coordinating with the supply chain department and field offices to organize the transport for all visitors.
  • Collecting quotations from potential suppliers when required.
  • By coordinating with DRC Finance and different suppliers, handling the admin related payment settlements.
  • Acting as a focal person for organizing workshops, seminars, trainings, events, annual reviews and etc, to arrange all admin logistics support.
  • Supervise the Admin team members; Admin Assist, cleaners and contribute to their performance reviews.
  • Update and maintain all admin related trackers, Travel Requests, staff movement, expats’ passport, kitchen ware and office supplies.

Experience and technical competencies:

  • Must have a minimum of 2 years of relevant office administration experience, INGO/UN working experience is highly advantageous.
  • Knowledge of web-based system, Microsoft office package etc.
  • Strong organizational and communication skills, cooperation and working relationship
  • Proven team player and ability to work effectively in the multi-cultural working environment
  • Graduate from a recognized university
  • Diploma in Business Administration or equivalent professional qualification is desirable.
  • Professional fluency in English and Myanmar.

Conditions

Contract: DRC will offer the successful applicant a DRC’s Regular contract included 3-month probation. Renewable depends on both funding and performance. Salary and conditions will be in accordance with DRC’s Terms of Employment. The position is placed in Employment Band H.

This position is open for Myanmar National only.
