This position is located in the United Nations Centre for Regional Development (UNCRD), Division for Sustainable Development Goals (DSDG), Department of Economic and Social Affairs (DESA). The Centre’s mission is to assist developing countries in their transition to sustainable development path in line with the 2030 Agenda for Sustainable Development. The Incumbent reports to the Head of Office (UNCRD).
Responsibilities
Within limits of delegated authority, under the direct supervision of the Head of Office (UNCRD), the Programme Assistant is responsible for the following duties: • Assists in the coordination of programme/project planning and preparation work for the Office’s programme/project initiatives and activities; monitors the status of programme/project and activities and receipt of relevant documentation for review and approval. • Compiles, summarizes, and presents basic information/data on specific programmes/project and related topics or issues. • Reviews project documents, including cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identifies inconsistencies; distributes project documents to relevant parties upon approval. • Reviews budget revisions; verifies availability of funds; ensures necessary approval and entry in computerized budget system. • Serves as focal point for administrative coordination of programme/project implementation activities, involving extensive liaison with a diverse organizational unit to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, logistical support, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc. • Compiles, summarizes and enters data on project delivery; drafts related status reports, identifying shortfalls in delivery, budget overruns, etc., and brings to the attention of management. • Assists in the organization and implementation of communication and outreach activities. Maintains Office’s website including updating the website contents and liaising with other offices on website management and troubleshooting. Assists with visualizations and updating information material in web pages or brochures. • Assists in the preparation of presentation materials using appropriate technology/software. Attends meetings, prepares minutes and reports, and monitors follow-up activities. • Provides general office assistance; responds to complex information requests and inquiries; reviews, logs and routes incoming correspondence; sets up and maintains files/records; organizes meetings and workshops and maintains calendar/schedules; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc. • Provides guidance/training to new/junior staff. • Performs other duties as assigned.

Work Experience
At least five (5) years of experience in programme or project administration, technical cooperation or related area is required. Experience in monitoring and evaluation systems for project management and performance is desirable. Experience in the organization of international conferences, workshops, meetings, and training seminars, including travel arrangements for participants, is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage. Knowledge of Japanese is desirable.

Evaluation of qualified candidates may include an assessment exercise which may be followed by a competency-based interview.

This is a Project-funded post. Appointment or assignment against this post is for an initial period of one year.
