Duties and Responsibilities
The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The overall objective of the UNEP’s Economy Division is to encourage decision makers in government, local authorities and industry to develop and adopt policies, strategies and practices and technologies that promote sustainable patterns of consumption and production, make efficient use of natural resources, ensure safe management of chemicals and contribute to making trade and environment policies mutually supportive. It promotes the development, use and transfer of policies, technologies, economic instruments, managerial practices and other tools that assist in environmentally sound decision making and the building of corresponding activities. The United Nations Environment Programme Finance Initiative (UNEP FI) is the strategic partnership between the United Nations and over 450 banks, insurers and investors. For over 28 years UNEP FI has been shaping and driving the international sustainable finance agenda, setting global standards and growing a global network of leading financial institutions. Through its work-streams and regional activities, peer learning, methodology development, training and research, UNEP FI promotes sustainable finance and helps the financial industry align with and contribute to the Paris Agreement and Sustainable Development Goals. UNEP FI works with banking, insurance and investment members and a network of regional partners to accelerate market momentum towards a financial sector aligned with sustainable development in five geographical areas: Africa & the Middle East, Asia-Pacific, Europe, Latin America, North America. The objective is to disseminate, promote and communicate UNEP FI’s work across the different geographical regions by a variety of means, including consultations, research, workshops, and special meetings/events. UNEP FI has ongoing needs with the
(i) Administrative and (ii) Communications Teams across a number of administrative areas linked to Human Resources, Travel and Communications, as well as event’s planning. UNEP FI currently does not have the in-house support to undertake the below mentioned tasks, therefore it requires the assistance of an Individual Contractor. Objectives The result of the services will be used to successfully support the Programme Officers of the UNEP FI Secretariat to ensure that FI projects are running smoothly assisting them from a financial and administrative perspective. • Assistance provided in HR-related matters, including supporting the Head of Unit and the Administrative Team. • Assistant in hiring and contracting procedures of interns, as well as general HR issues and special projects. • Assistance with creation and maintenance of data for the UNEP FI database following training by the Communications Team. • Administrative support to UNEP FI Workshops undertaken, especially in the context of preparations for the Regional Roundtable in 2024. • Assist with management of UNEP FI’s social media channels in coordination with communications colleagues and other members of the UNEP FI secretariat. Specific tasks and responsibilities Tasks for the Administrative Team: • Assist in HR-related matters, including support in preparing documents for the recruitment of interns for the FI Secretariat. These documents include Terms of Reference, PHP’s, Memo’s, Comparative Analysis, P104 Form. • Preparation of travel support to FI Secretariat workshops and meetings in a timely and effective manner. • Support the Admin Team with HR Projects – Which are the Consultant Evaluation Trail Programme and the support to Programme Managers, and the 2024 UNEP FI Training Plan for staff and consultants. • Proofread documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format. • Assists the Admin Team in the preparation admin reports for submission to FI Management including statistics on the amount of requests we are processing. Tasks for the Communications Team: • Update and assist management of UNEP FI’s website following training by the Comms team • Assist with management of UNEP FI’s social media channels in coordination with communications colleagues and other members of the UNEP FI secretariat. • Assist with production of newsletters for UNEP FI’s members and ad hoc emailing campaigns. • Coordinate quarterly planning presentation for UNEP FI Communications Team. • Produce web and social media analysis for the Communications Team. The IC shall be under the overall supervision of the Head of UNEP FI and report directly to the Administrative Assistant (HR) in the UNEP FI Administration Unit and the UNEP FI Communications Team.
Qualifications/special skills
Education: High school diploma or equivalent. A University degree in administration, finance, economics or related field is desirable. Professional Experience: One (1) year of progressively responsible experience within the UN system, government administration, non-governmental organization, private sector or related organization or institution with experience in administration and/or finance. Extensive experience in the use of computers and standard office software (e.g. word processing, spreadsheets, slide presentations). Experience with Umoja is an asset.
Languages
Languages: English and French are the working languages of the United Nations Secretariat. For this position, spoken and written English is required. Knowledge of French is an advantage.
