The position of Associate Operations Coordinator is assigned to the Office of the Director General (OPSD) within the Private Sector Operations Department (PSOD). You will be based at our Headquarters in Manila, Philippines.

You will report to the designated International Staff in OPSD.

Your Role

As an Associate Operations Coordinator, you will provide operational support to a range of activities including coordinating and facilitating PSOD-wide, inter-departmental and ADB-wide events and activities.

  • Support project management and coordination activities across PSOD, with an emphasis on projects coordinated through OPSD developing capabilities in a variety of project management tools and methodologies.
  • Support in the facilitation of PSOD’s involvement in key activities by coordinating with internal committees, working groups, and external institutions to ensure strategic alignment and effective participation.
  • Aid the Communications team in organizing and managing PSOD client events, ensuring seamless execution and engagement.
  • Support in planning and coordinating PSOD-wide events, including staff meetings, retreats, team building exercises, and other gatherings, to foster a cohesive work environment; including client reception, enhancing the client experience and maintaining strong relationships.
  • Assist in collecting and synthesizing information for briefing notes, reports, and presentations, contributing to informed decision-making for PSOD activities and events.
  • Support in logistical arrangements for meetings, travel, and events, ensuring documentation is complete and accurate.
  • Support in providing guidance on work procedures, guidelines, and formats to junior administrative staff.
  • Monitor information flows on events, highlighting issues that require International Staff attention
  • Support in ensuring detailed preparation and follow-up for meetings, providing the necessary information for productive discussions and well-informed decisions.
  • Assist in managing relationships with internal and external stakeholders, facilitating the implementation of PSOD and bank-wide initiatives; including utilization of a comprehensive database to monitor activities with and of stakeholders and relationship partners
  • Support to improve office workflows, streamlining processes, systems, and procedures for increased efficiency.
  • Perform any other duties as may be required and reflected in the incumbent’s workplan.

Qualifications

You will need:

  • Bachelor’s degree
  • At least five (5) years of relevant professional experience
  • Understanding of private sector operations
  • Experience in managing, coordinating and facilitating intra- and inter-departmental events and activities involving external clients
