Organizational Setting

FAO Bangladesh established the Cox’s Bazar programme and field office in 2017, after the influx of Rohingya refugees from Myanmar. The field office implements projects under two workstreams, namely food security and livelihood and natual resource management, in support of both Bangaldeshi host and Rohingya refugee populations in the Cox’s Bazar subdistricts of Cox’s Bazar Sadar, Ramu, Teknaf, and Ukhiya. FAO Cox’s Bazar works with government partners, other UN organizations, and development partners and is an active stakeholder in intersector programming and interventions.

Reporting Lines

The Junior Logistics Coordination Specialist is under the overall supervision of the FAO Representative in Bangladesh, guidance of the FAO Head of Field Office in Cox’s Bazar, day-to-day supervision of the Project Operations Specialist, and works in close collaboration with Programme and Operations teams in Cox’s Bazar and the Country Office in Dhaka.

Technical Focus

The Junior Logistics Coordination Specialist (SC-6) will provide full logistical support to the FAO Cox’s Bazar Field Office, ensuring that activities are implemented quickly and effectively. Planning, execution, and control of the procured supplies, movement, distribution and stationing of personnel, material, and other resources to achieve the objectives of a campaign, plan, project and or strategy.

Tasks and responsibilities

•    Supervise and manage logistics operations for the reception and distribution of Agricultural inputs and assets procured, including efficient and cost-effective transportation to the end user based upon the agreed distribution plan through coordination and collaboration with the responsible technical specialists and procurement unit
•    Ensure comprehensive logistics & supply chain documents and reports are adequately collected and filed for future reference and continuously update supply movement in each location and produce stock reports, distribution reports and physical Inventory reports produced weekly and or monthly
•    Undertake responsibility for the supervision, monitoring, and detailed recording of all warehouse and stock movement activities consistent with FAO procedures requiring complete accuracy and timely delivery
•    Ensure proper warehouse management that includes storage capacities, conditions and the actual storage of stock
•    Undertake responsibility for stock management and control of all FAO-procured supplies in specialized storage conditions if needed
•    Undertake responsibility for developing dispatch plans to distribute inputs to the set distribution points based on the approved plan
•    Take the lead on reviewing and updating the standard operation procedures (SOP) that guide the process at different Logistics and supply chain levels
•    Responsible for raising the PRs for all items procurement for the relevant projects
•    Ensure smooth functioning of the office equipment and report to the supervisor any malfunctions of utility service provisions
•    Act as Custodian for management of office stationery supplies, including maintenance of a stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution
•    Ensure that all FAO vehicles are well equipped (communication equipment, toolboxes, etc.); and oversee and ensure proper maintenance and management of vehicles and drivers
•    Follow up on accidents/incidents with the police, informs the insurance company, and prepare and send all relevant documents
•    Certify that the drivers correctly record all the vehicle logbooks and monitor the fuel consumption on monthly bases and report to the supervisor
•    Provide a weekly roster for drivers, schedule vehicles/drivers daily, and plan for upcoming field missions
•    Act as a security focal point for Cox’s Bazar
•    Perform other related duties as assigned

Minimum Requirements

Advertisement

•    University degree (Bachelor) in business administration, economics, finance, management or closely related areas
•    At least three years of relevant experience in administration and logistics with an international organisation
•    Working knowledge (level C) of English and Bengali
•    National of Bangladesh

Technical/Functional Skills

•    Ability to analyze financial/administrative information
•    Ability to organize and coordinate work
•    Experience in managing workshops, meetings, travel, and other logistical matters
•    Ability to work harmoniously under pressure with people of different national and cultural backgrounds
•    Previous work experience with the UN is considered a vital asset
•    Strong professional command of MS Office
