About Office/Institute

The UNU Human Resources Office (HR-KL), as part of UNU Centre Administration, serves UNU’s Institutes and Offices in 16 locations around the world in the provision of human resources services. This includes HR policy and strategy, as well as business processes and systems and a core set of transactions in HR, including contract administration and global payroll. HR-KL is led by the Chief of Human Resources, who reports to the Director of Administration in Tokyo.

Responsibilities

1. Provides support for the UNU mentorship programme and ensure effective communication and documentation.

  • Assist in content creation and programme coordination
  • Gathers, organises and updates programme information
  • Communicate necessary programme details with all mentors and mentees as the main focal point

2. Assists in tracking and monitoring mandatory training and ensuring timely filling of the certificates.

  • Tracking the completion rate
  • Orderly submission and filling of training certificate
  • Support Business Process Improvement initiatives to increase the efficiency of the tracking process

3. Mental health, Gender, Diversity and Inclusion, Personnel Engagement

  • Coordinate the necessary team meetings and track the progress
  • Support the review and operationalisation of different strategies

4. Support the administration HR management team

  • Draft project proposal or TOR for the UNU wide HR initiatives
  • Coordinate the approved project/programme
  • Create various Standard Operating Procedures (SOP)s for UNU HR community
  • Support analysis and management of LinkedIn learning programmes

5. Perform other duties as assigned by supervisor

Qualifications

1) Education and certification

  • Master’s degree or equivalent in Business Administration, Human Resources or other relevant social sciences is required.
  • A first-level university degree in combination with two additional years of qualifying experience will be accepted in lieu of the advanced university degree.

2) Required skills and experience

  • At least 2 years of progressively responsible experience in Human Resources, some of which preferably in an international setting
  • Knowledge of to work with MS Office Suite (MS Word, MS Excel, MS PowerPoint, etc) is required
  • Experience in drafting complex reports, communications, and presentations is required.
  • Strong analytical skills, meticulous attention to detail and process orientation.
  • Proven organizational skills and ability to take initiative, prioritize and deliver results in a fast-paced work environment.
  • Strong collaboration and team skills with respect for diversity in all its forms.

3) Language Requirements

  • Fluency in English is required
  • Knowledge of another UN official working language is an asset.

Duration

The successful candidate will be retained under a Consultant Contract (CTC). Consultants engaged by UNU may not provide services for more than twenty-four (24) months in a thirty-six (36) month period.

UNU is not liable for any taxes that may be levied on the remuneration you receive under this contract. Payment of any such taxes remains the sole responsibility of CTC holders.

Remuneration

Remuneration will be commensurate with experience and based on a daily rate to be submitted as part of the application procedure.

This contract carries no entitlement to paid annual leave nor sick leave.

Travel considerations

Should “mission travel” be required, UNU will pay for travel. However, this will be subject to the following prerequisites: Medical Clearance, Security Clearance through the Travel Request Information Process (TRIP) system, completion of the BSAFE online course, travel Visa, and liability waiver. Trip prerequisites will be met at the expense of the consultant.

Travel cost will be calculated based on economy class travel, regardless of the length of travel. Costs for accommodation, meals and incidentals must not exceed applicable daily subsistence allowance (DSA) rates, as promulgated by the International Civil Service Commission (ICSC at http://icsc.un.org).
