Position:                             Support Technical Assistant
Reports to:                         Field Office Coordinator
Duty station:                       Myitkyina office
Category and Level:           Grade 4, Step 1
Duration:                             Up until 31 December 2024 with possible extension

  1. Role and responsibilities

The following is a brief description of the role.

Generic responsibilities 

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  1. Welcome visitors to the NRC office, and direct them accordingly
  2. Adhere to NRC policies and procedures
  3. Supervise cleaning staff and ensure order and cleanliness of the MKN office
  4. Receive, distribute and register faxes, mails, documents and reports
  5. File administrative documents according to procedures
  6. Ensure that utility bills (e.g. electricity, water, internet) are paid on time
  7. Facilitate maintenance of NRC Office and NRC warehouse premises
  8. Assist in monthly staff update data preparation and some HR tasks
  9. Assist Field Office coordinator at any activities related with Government authorities and Ministries concerned, in order to accomplish the NRC activities in line with time frame.
  10. Assist Logistics Officer for fleet arrangement, warehouse arrangement, asset and inventory records and in procurement process as necessarily.

Specific responsibilities 

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

Administration

  • Ensure availability of standard NRC forms (updated version) in at office.
  • Ensure that the office stationery and office supplies are ordered on time, raise purchase request.
  • Arrange for staff and visitors flight bookings, transport and accommodationsS
  • Assist in the ID card preparation, stamp preparation, business card preparation required by Admin/HR department.
  • Maintain NRC archive and NRC computerized filing tree for administration section according to NRC guidelines.
  • Supervise cleaners to ensure that office cleanliness and hygiene standards are maintained
  • Assist Admin/HR Department in events/meeting planning and arranging as required.
  • Assist HR/Admin Officer to organize meetings, trainings and events in MKN, including arranging venue and catering where required

Logistics 

  • Ensure availability of storage space and maintain orderliness and cleanliness of the warehouse/storeroom at all times, ensuring that only authorized staff are allowed to enter the warehouse/storeroom
  • Arrange car plan for program activities
  • Record and update the asset and inventory list
  • Assist in the procurement process
  • Receive, store, and distribute materials and supplies according to NRC procedures

Critical interfaces

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are:

  • Finance & Logistics Department
  • Admin/HR Teams in North East Offices.
  • All Staff in NRC Myanmar.
