JOB DESCRIPTION

OBJECTIVES OF THE PROGRAMME

1.    Effective implementation of WHO collaborative programmes.

 

2.    Efficient application of the renewed results-based managerial framework of WHO through programme development, implementation, monitoring and evaluation of WHO’s programme of cooperation with countries in the Region.

 

3.    Support the Division in the application of the Global Management System in respect of supporting collaborative programmes, resource mobilization and communication.

DESCRIPTION OF DUTIES

Under the supervision of the Programme and Administrative Officer, the incumbent is assigned all or part of the following responsibilities:

  • Provide support in the administrative arrangements for travel, including preparing travel authorizations, flight and hotel bookings, visas and following up on required clearances.
  • Provide clerical support in the preparation of events and meetings and administrative arrangements for workshops and seminars. Obtain and disseminate, as required, documents and information from staff and focal points of internal departments and external stakeholders.
  • File electronic and hard-copy official records, retrieving and distributing material, as needed in accordance with standard office procedures.
  • Answer telephone calls, responding to routine queries and direct or forward to the appropriate staff members, as required.
  • Type correspondence and format documents and presentations in line with WHO and department styles.
  • Register and route mail, correspondence and other documents, employing tracking systems.
  • Provide back up support to other support staff as required.

REQUIRED QUALIFICATIONS

Education

Essential: Completion of secondary school education or equivalent (technical or commercial school).
Desirable: Formal secretarial/administrative training is desirable. Bachelor or undergraduate degree is an asset. Formal or self-training in the use of standard office software is desirable. Training in accounting theories and principles is an asset.

Experience

Essential: Minimum of two years’ experience in secretarial or administrative positions.

 

Desirable: Relevant experience in WHO or another UN agency an asset. Experience in Oracle-based or other ERP systems is preferred.

Skills

  • Knowledge of organizational administrative procedures relating to the position, including filing, document preparation, and information processing.
  • Excellent oral and written communication.
  • Ability to prioritize work assignments, perform routine work and adapt to changing demands.
  • Proactivity in customer service.

REMUNERATION

WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at USD 7,289 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
