Organizational Setting and Reporting Relationship

The position of Senior Operations Assistant is assigned to the Private Sector Infrastructure Finance Division 1 (PSIF1) within the Private Sector Operations Department. You will be based at our Headquarters in Manila, Philippines.

You will report to the Director, PSIF1 and designated International Staff and senior National Staff.

Your Role

As a Senior Operations Assistant, you will provide support in the processing up to signing of non-sovereign infrastructure projects in Central and West Asia and South Asia. You will also assist in the preparation of project documentation packages required for project approval.

You will:

a. Project Support

  • Support in preparing documentation packages from concept review to Board approval.
  • Conduct inter-Departmental coordination in relation to the processing of deals.
  • Closely coordinate with the Investment Committee Secretariat
  • Momitor fee payments and cost reimbursements.
  • Upload the project documents to ADB platforms such as CreditLens, SharePoint, eOps, and MAS, as required in the different phases of approval.

b. Technical Assistance

  • Support the preparatory work and processing of TA documentation for PSIF1 TAs
  • Assist in handling consulting recruitment and procurement requirements
  • Monitor PSFI’s compliance with disclosure requirements under ADB’s Public Communication Policy

c. Knowledge Products

  • Assist in handling PSIF1 knowledge products and events.
  • Coordinate with PSOD Communications Team on PSIF1 events.
  • Ensure that all PSFI knowledge products are aligned with the branding guidelines of PSOD and ADB.

d. Budget Preparation

  • Assist in the preparation of PSFI’s budget requests.
  • Provide inputs on PSIF1’s budget planning on proposed business travel and representation expense.

e. System Requirements and Coordination

  • Contribute to the enhancement and implementation of systems and procedures, and administration of computer application systems to ensure that PSOD’s requirements are met.

Qualifications

You will need:

  • Bachelor’s degree in Business Administration, Finance, or relevant fields
  • At least 5 years of relevant professional experience.
  • Experience in nonsovereign project and technical assistance processing and administration
  • Advance computer skills with sound knowledge of Microsoft tools, like Word, Excel and PowerPoint used in multilateral organizations
  • Ability to work collaboratively with teams as a constructive team member
  • Ability to exercise judgment on matters of confidentiality and those requiring urgent attention
  • Excellent command of written and spoken English
