ORGANIZATIONAL CONTEXT

The storekeeper will be part of the logistics team taking care of running the operations based in the Supply Chain Division of the UNHRD Hub in Kuala Lumpur, Malaysia and will report directly to the Head of Operations.

THE ROLE

The selected incumbent will be exposed to all phases of the warehouse operations and work with minimum supervision. The incumbent will be expected to handle receipt/dispatch and verification of commodities in order to maximize quality of warehouse operations and mitigate losses, and to support the best storage management practices in compliance with WFP warehouse standards and established guidelines.

KEY RESPONSIBILITIES (not all-inclusive, nor exhaustive):

  • Effectively receive/dispatch WFP and partners non- food commodities (NFI’s), including trans shipment against official approved documentation (e.g. waybills and/or delivery notes) ensuring accuracy in physical count of commodities including the quality in compliance with the established standards.
  • Prepare, verify and sign off warehouse and transport documents, and maintain confidential files and accurate warehouse transaction records to ensure immediate reporting on commodity movements in line with the corporate requirements.
  • Conduct daily warehouse closing reconciliation and accurate inventory checks supporting internal control systems in compliance and update Warehouse Management System (WMS).
  • Perform daily inspections of Inbound NFI’s to ensure compliance with Specification, Quantities, Packaging and prepare reports on the quantity and quality of the commodities received/dispatched and handled, detect promptly and analyse reasons for stock discrepancies/damages, investigate missing quantity and prepare warehouse loss reports recommending appropriate solutions, to enable informed decision-making.
  • Ensure good warehousing practices as per manual and UNHRD SOP including storage conditions for NFI’s and follow SOP’s set forth for medicines and medical supplies. Supervise offloading operations and stacking of the commodities, follow up tracking of commodities in the pipeline and report the same to the appropriate personnel.
  • Monitor condition of the warehouse and commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage, in consultation with others, take appropriate action for the disposal of spoilt/ expired commodities.
  • Maintain records of NFI’s loaded/ offloaded at the warehouse and performing Goods Receipt (GR), Goods Issue (GI) including other WMS (system) related tasks.
  • Supervise and provide guidance and on-the-job training to warehouse employees (casual labour & forklift operators).
  • Perform other related duties when required.

SPECIFIC ROLE REQUIREMENTS (as required by the Hiring Manager):

Essential:

  • Experience in managing warehouse and inventory operations.
  • Demonstrated knowledge of logistics and supply chain principles.
  • Proficiency in using warehouse management systems and other relevant software to maintain accurate records.

Desirable:

  • Experience working in a United Nations common system, international or non-governmental organization.
  • Experience working in multi-cultural teams and environments.

STANDARD MINIMUM QUALIFICATIONS AND EXPERIENCE

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Language: Fluent in English and Bahasa Malaysia (Spoken and Written).

Experience: Four or more years of progressively relevant work experience in the related business streams/ warehouse/ Logistics/ Supply Chain environment.

TERMS AND CONDITIONS

General Service Staff positions are recruited locally. To be considered for this role, applicants must be citizens of the country where the job is located or have a valid visa/work permit and live within a reasonable commuting distance of the workplace at the time of application.

If not residing within commuting distance at the time of application, candidates must reside already in Malaysia and be willing to relocate to Kuala Lumpur, Malaysia, at their own cost before taking up the assignment. WFP will not cover relocation costs, living expenses, or assistance with residency or work permits
