Job Overview: The Supply Chain Assistant position will help support the Supply Chain Manager in managing inventory and logistics, as well as administrative duties as assigned. Is responsible for collecting, tracking, and disbursing purchased and in-kind resources to refugee and immigrant populations resettled by the IRC and other eligible clients. They maintain storage space, support procurement efforts, and satisfy recordkeeping and reporting requirements.

Major Responsibilities:

• Maintain an accurate inventory of supplies including both donated and purchased items.

• Monitor current supplies and provide regular purchase requests to Procurement as needed.

• Enter and track inventory received and released through the current Access database.

• Explain and release inventory to newly arrived clients.

• Create and track the necessary client direct assistance vouchers for the Resettlement Program.

• month end inventory reconciliation

• Coordinate the daily operations of donation storage areas by stocking and supporting the distribution of in-kind goods in an organized manner.

• Observe correct stacking and turnover by implementing (FIFO or FEFO) procedures.

• Collaborate with colleagues and members of the community to safely load, unload, and disburse goods in strict accordance with IRC and donor requirements.

• Ensure accurate recordkeeping to account for and track incoming and outgoing inventory by preparing forms and maintaining thorough records within IRC’s data management systems.

• Provide accurate and up-to-date digital and physical inventory records for regular reporting purposes.

• Making appointments for drop-off and pick-up of in-kind

• Organizing more regular clothing closets and other donation events

• Entering receipts into Integra

• Following up with case workers to get receipts signed.

• Tracking in-kind values per program

• Recording bus passes in integra – homeless rate discount

• Recording pods payments in Integra for match (monthly)

• Recording rent (office space used for running MG program)

• Provide coverage for front desk operations to ensure clients and stakeholders are adequately served.

• Undertake general office, reception and administrative duties as requested.

• Other duties as assigned.

Job Requirements:

• High school diploma required; some university education preferred.

• Fluent in English with strong verbal and written communication skills.

• Proficiency in language(s) spoken by IRC’s clients is desired, including Spanish, Arabic, Dari, Farsi, and/or Pashto.

• Demonstrated proficiency with Microsoft Office programs including Excel, Word and Outlook

• Must be well-organized, reliable, professional, detail oriented and flexible.

• Desire to work as a team member and in a multicultural workplace.

• Must have a valid driver’s license, active insurance policy, and access to reliable transportation.

• In accordance with Arizona State Law, must possess or be eligible to receive a fingerprint clearance card.

• Ability to lift 35+ lbs. safely.

• Valid driver’s license and access to a personal, insured vehicle.

Working Environment:

• A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined responsibilities.

• May require occasional weekend and/or evening work.

Compensation:

Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
