Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Office of the Director General (OPSwithin the Private Sector Operations Department (PSO. You will be based at our Headquarters in Manila, Philippines.
You will report to the Senior Advisor, PSOD and designated international staff.
Your Role
As a Senior Operations Assistant, you will perform administrative support to designated international staff and provide operational support services for different activities of OPSD including coordination for knowledge sharing activities, records management, and other clerical functions.

a. Administrative Support
- Provide efficient administrative support in calendar management, filing, database maintenance, among others.
- Facilitate coordination to ensure efficient coverage of important internal and external meetings.
- Propose, implement, and collect ideas for streamlining administrative processes.
b. Office Coordination
- Ensure the smooth flow of the administrative and logistical requirements of the assigned supervisors.
- Help organize PSOD internal and external events.
- Handle required internal and external coordination enhancement and implementation of standard operating procedures, implementation of new systems to facilitate efficient monitoring and delivery of reporting requirements and engagement of staff consultants (including contracts administratio.
- Coordinate the SharePoint requirements of OPSD.
c. Communication and Document Management
- Ensure the efficient handling, disposition, distribution, and smooth flow of incoming and outgoing documents and information requests.
- Help share PSOD communications.
- Implement and handle records management including logging and uploading in the PSOD SharePoint site.
- Monitor, flag, and followup action items.
d. Data Analysis and Report Generation
- Collects, compiles and analyzes relevant information and data to produce routine and/or ad hoc statistics/reports.
Qualifications
You will need:
- Bachelor’s degree
- At least five years of relevant professional experience
- Skills in managing priorities and workload within a general work schedule, following instructions and standardized practices.
- Ability to foresee response and implication of own outputs, and to undertake tasks efficiently
- Good analytical thinking and ability to make simple causal links, develop proandcon lists and conduct analyses to make informed decisions
- Experience working with teams as a constructive member and individuals from different cultural/national backgrounds
- Experience guiding more junior staff and assist their skills development
- Experience using Excel and PowerPoint to collect and analyze data.
- Proficient in written and verbal communication skills in English
