The Project Coordinator Consultant – Executive Support for Senior Leadership and Steering Committee Meetings, will provide support to the Procurement Services Centre for 3 major meetings which are both internal and external. The activities will include:

  1. Content development and preparation of executive level materials, e.g. balance score card – conducting partnership review, compiling year review/progress report on activities undertaken and key updates.
  2. Creation of the required admin notes, invitations, preparatory documents, presentations, and written materials. Tasks include creating, collating, drafting, copywriting, proofreading, reviewing, and editing as appropriate.
  3. Establish and maintain relationships with internal and external partners for crossfunctional project coordination and to facilitate communications for/on behalf of the Chief, PS, acting as a liaison and redirecting/escalating information as needed.
  4. Set up meetings offsite with key stakeholders identified for each meeting.

How can you make a difference?

Work Assignments Overview:

  • Project Support with a major biannual seniorlevel internal governance meeting expected to take place in November
  • Supporting with end of year update for a major external partnership. Includes preparation for inputs in support of highlevel meeting expected to take place in January 2025 and other ancillary meetings.
  • Project Support with a fiveyear submission to an executivelevel governance meeting expected to take place in February

Deliverables/Outputs:

  • Development of agenda;
  • Development and dissemination of presentation decks and other meeting materials, making sure the supervisor and team are fully briefed and prepared ahead of meeting(;
  • Taking of accurate minutes, to be shared for review and further dissemination by supervisor;
  • Action tracking (timelines, milestones, deadlines, objectiveand monitoring, following up with relevant colleagues on followup tasks and helping drive progress forward / coordinating updates for the supervisor.

To qualify as an advocate for every child you will have…

  • A Bachelor’s degree in Humanities, Linguistics, Philosophy, History, Languages, Literature, Journalism, Classics.
    A minimum of 5 years of relevant professional experience in project coordination roles.
  • Experience coordinating large projects especially supporting senior level.
  • Proven work experience working at the international level.
  • Fluency in reading and writing English. Fluency in French is highly desirable.
  • Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanisor a local language is an asset.
