BACKGROUND
The job holders report to the Supply Chain Officer, and the job holders are expected to support the partner (mainly government of Sto manage transport and warehouse activities and respond to queries with general guidance. They are expected to manage resources and coach and coordinate a team of partners warehouse staff. The job holder is also expected to the programme in the delivery of cash operations. The job holder is also required to support the HoSC in designing and developing capacity strengthening activities for partners.
KEY ACCOUNTABILITIES(not allinclusive, nor exhaustiv:
Provide support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of assistance to beneficiaries.
Provide support to the government for the effective planning and management of warehouse operations, to ensure safe and efficient warehousing and storage of all commodities and supplies.
Responsible for the accuracy of warehouse transaction records including identification of discrepancies, to ensure immediate and accurate reporting on commodity movements in line with the corporate requirements.
Oversee inventory management (e.g. physical stock verification, reporting, etc.) at the government stores, to ensure any existing and developing issues with regards to proper stock management are timely addressed and WFP standard procedures for commodity handling and storage are strictly followed.
Oversee safeguarding of commodities through providing guidance on and taking initiative towards implementation of preventive measures, to ensure that commodities are preserved in good condition and that quality control actions are initiated as appropriate following WFP established procedures.
Provide technical assistance to the government to implement Food Safety and Quality activities in support of the agreed programmes related to food security and nutrition.
Review on a periodic basis warehouse space availability, plan and implement new design layouts to support business needs and ensure costefficiency.
Support management of logistics vendors’ contracting activities including performance monitoring and measurement.
Support operational pipeline analyses, assessments and operational planning for all delivery modalities.
Process documentation for the execution of logistics operations (e.g. customs clearance, invoice verificatio, take appropriate actions to resolve operational issues escalating various issues to the supervisor.
Collect and compile data, produce and/or contribute to reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performancand ensure information accuracy in corporate systems in support to informed decisionmaking.
Liaise with an internal and external stakeholders to support efficient cash and voucher (retaioperations management.
Provide guidance to other support staff, in order to assist them in completing standard tasks to agreed standards and deadlines.
Prepare letters, reports, documentation, correspondence, etc., in line with established guidelines as required.
Collect and perform basic analysis of data to contribute to quality business information management.
Adapt and contribute to the development of standard operating procedures and processes to continually improve the level of service.
Any other tasks as required
QUALIFICATIONS AND EXPERIENCE:
Education: Completion of secondary school education. A postsecondary certificate in the related functional area is desirable
Experience: 5 Years relevant work experience.
Knowledge and Skills:
Language: Fluency (level in English, Sinhala or Tamil Language.
General Service (Fiel: Fluency in both oral and written communication in the UN language in use at the duty station and in the duty station’s language, if different.
