Description
 
The Eastern Europe Country Management Unit (ECCEE) which covers Ukraine, Moldova, and Belarus is recruiting an Extended Term Temporary (ETT) based in Kyiv, Ukraine to provide support to the World Bank portfolio. The ETT will report directly to the ECCEE Operations Manager (OM), be part of the unit’s operational support team, and work closely with the task team, government counterparts and development partners.
 
The position is a one-year ETT assignment, with a possibility to extend for an additional year, dependent on available budget and performance.
 
Duties and Accountabilities
 
The ETT responsibilities will include, but are not limited to, the following:
  • Draft, edit, proofread, and finalize routine correspondence, minutes, and documents/reports according to guidelines. Incorporate agreed-upon comments and make full use of shared drives and software. Provide language support and draft translations between English and Ukrainian.
  • Assist teams with scheduling meetings, setting up Webex connections, and addressing IT-related queries.
  • Maintain effective communication with project staff, support units, and other teams to ensure efficiency through best practices.
  • Support the preparation and implementation of projects, ensuring documents are processed efficiently and according to procedures.
  • Assist in the consultant selection process using administrative platforms, in collaboration with the project leader. Handle year-end tasks by ensuring consultant commitments and payments are met, and contracts are closed properly, particularly in the last quarter of the fiscal year.
  • Provide primary assistance in the unit’s work program implementation, offering specialized support in areas such as task management, procurement, database management, IT, or editorial assistance.
  • Maintain updated distribution lists, contact details, and ensure document distribution within the team.
  • Coordinate with the budget unit and maintain regular communication with team members at both Headquarters and the Country Office.
  • Organize work schedules and meetings for visiting teams.
  • Manage time and schedules effectively, accounting for changing priorities, anticipating shifts, and communicating updates promptly.

Selection Criteria

 

  • Minimum educational requirement: High school diploma with 2 years of relevant experience; a higher degree is preferred.
  • Excellent computer skills, including advanced document formatting abilities.
  • Experience in performing administrative functions (e.g., procurement, HR, etc.).
  • Strong communication and diplomatic skills, especially when interacting with colleagues and clients.
  • Demonstrated ability to retrieve, gather, and compile information from various sources (e.g., Internet) and organize it into usable formats.
  • Strong organizational skills with the ability to prioritize and deliver assignments in a timely manner, often under tight deadlines.
  • Fluency in oral and written English and Ukrainian is essential.
