Duties and Responsibilities
Under the guidance of the Deputy Country Representative-OHCHR-EARO and direct supervision of the Programme Management Officer (PMO, P3), the incumbent will provide protocol, custom clearance and visa facilitation of new and existing staffs as required with the highest standards of discretion, integrity, and responsibility, the scope of the work of the consultant will be the following. • Process accreditation for new staff, consultants, and interns, including diplomatic identity cards, personal identification numbers, work permit exemptions, and passport endorsements. • Handle notifications of departure to the Ministry of Foreign Affairs, monitoring and following up on delays. • Facilitate access to the VIP Lounge at Addis Ababa International Airport for OHCHR and UN high officials. • Assist in obtaining and renewing diplomatic identity cards and work permit exemptions. • Deliver and collect mail and documents and support other messenger responsibilities. • Facilitate visa requests for new and existing staff, as well as visa extensions. • Process duty-free privileges for eligible staff. • Arrange hotel bookings and obtain visa-on-arrival approvals from the Ministry of Foreign Affairs. • Maintain accurate vehicle logs, manage insurance renewals, and ensure vehicle inspection and registration. • Support vehicle maintenance planning and report preparation. • Follow appropriate procedures in the event of accidents.
Qualifications/special skills
High school diploma or equivalent. Driver training with a valid driver’s license. Minimum of 3 years (with high school diploma) of relevant work experience on administrative functions including protocol duties. Experience with driving and possession of a safe driving record and a valid 3rd grade driving license is required • Experience in working with diplomatic missions or international organizations is an advantage. • Safe driving record, and knowledge of driving regulations, rules and laws as well as skills in minor vehicle repair and maintenance is an advantage. • Knowledge of protocol and diplomatic courtesies is preferred, especially familiarity with procedures for customs clearance, visa processing, and coordination with foreign affairs ministries.
Languages
• English is the working language of the United Nations Secretariat. • For this post advertised, fluency in oral and written English is required. • Fluency in the national language of the duty station is required and fluency in the local language of the duty station is desirable.
