JOB DETAIL

The Logistics Technical Assistant is supporting logistic operations in Kharkiv. The Logistics Technical Assistant will ensure effective use of the NRC stock and coordinate stock and fleet movements with other assistants and technical officers in other AOs and CO.

Generic responsibilities:

  • Adhere to NRC policies, tools, handbooks and guidelines.
  • Ensure that stocks are used according to NRC Logistics Handbook and other NRC country-level policies.
  • Plan, schedule and monitor stock/materials/equipment movements at all levels.
  • Ensure that all NRC stock are in proper condition and communicate when required.
  • Ensure that NRC stock and bin cards are filled correctly and necessary movement logging documents are in place.
  • Receive and check SRF and prepare stock.
  • Receive in-bound waybills and produce out-bound waybills.
  • Check all safety equipment is available based on the HSS team recommendations.
  • Ensure proper filing of all related documents.
  • Ensure close and regular stock counts and control.

Specific responsibilities:

  • Prepare payment requests for all procurements & other expenses for NRC Kharkiv office and staff houses i.e., fuel, office Supplies, rent, utilities [water & electricity], communications, vendors.
  • Respond fully and completely to spot checks on transactions to help NRC maintain transparency.
  • Ensure proper utilization of the stock.
  • Provide support in managing stock; documents and reporting.
  • Ensure timely, accurate and correct data entry into the management system.
  • Follow up on any stock movement to easy identify stock at any time and ensure donors or audits accountability and easy tracking.
  • Support in submitting daily, weekly and monthly reports.
  • Make a Stock Movement Plan and update.
  • Collect documents for payment (GRNs) or quality control sheet and share it with procurement department.
  • Ensure asset inventories are up to date.
  • Coordinate with program team for their weekly movement to ensure vehicle movement is cost effective and comply with NRC safety rules.
  • Prepare requisitions for spare parts for vehicles.
  • Train and develop drivers.
  • Filing of all vehicle records and reports.
  • Monitor fuel usage, prepare tracking sheet.
  • Coordinate with program team for their weekly movement to ensure vehicle movement is cost effective and comply with NRC safety rules.
  • Daily and weekly vehicle movement control during and after working hours.
  • Oversee the vehicle logbook, asset maintenance and fueling.
  • Coordinate and facilitate timely reporting of eventualities like accidents and breakdowns.
  • Secure that NRC vehicles are equipped with necessary legal documents and equipment (HF radio, GPS system, vehicle tool kits, first aid kit, etc.).
  • Compile and submit monthly vehicle utilization and carpool reports.
  • Report all potential fraud cases to the Line Manager.
  • Conduct any other duties as assigned by Line Manager.

Professional competencies:

  • Bachelor’s degree in relevant field.
  • Minimum 1 year of experience working in a warehouse.
  • Previous experience from working in complex and volatile contexts.
  • Good English level.
  • Experience with humanitarian organization is an asset.
