JOB DESCRIPTION

Job Summary:

As part of the IRC, the Kansas Office for Refugees (KSOR) in Wichita recognizes the crucial role of data in enhancing core staff functions, including reporting and managing funder information requests, developing robust and evidence-based programs. The Data and Impact Officer is responsible for ensuring data quality, integrity, and the continuous improvement of the database (ClientTrack). This includes system documentation, configuration, testing enhancements, resolving bugs, generating queries, and building reports to support service delivery to partners in Kansas. Additionally, the Data and Impact Officer plays a crucial role in training KSOR staff and partners on ClientTrack, and in generating data to inform strategic decisions and demonstrate the impact of KSOR’s programs.

The Data and Impact Officer reports to the Director and will work closely with the Senior Management Team (SMT) and the Program Officer for Information Systems of the Resettlement, Asylum, and Integration (RAI’s) Research, Analysis, and Learning (RAL) Team.

Major Responsibilities:

Leadership and Reporting

  • Oversee the continuous improvement and management of KSOR’s ClientTrack database system, including designing program features and training office and partner agency staff.
  • Provide effective data management and oversight of all reporting, including partner, donor and headquarters reports.
  • Lead the preparation and submission of KSOR donor reports, including reviewing partner reports and compiling final submissions.
  • Develop and maintain a dashboard for automated data collection and visualization to support KSOR’s outreach efforts, decision-making, and reporting.
  • Run regular reports for program, partnership, and finance staff to draft reports, and for the Director to share with the donor, the Office of Refugee Resettlement (ORR).
  • Analyze and report data to SMT and Director on impact, trends, burn-rate and challenges related to program administration and service delivery.
  • Support data quality assurance, including ensuring quality of core indicator data, and conduct data quality audits when needed.

Capacity Building & Learning

  • Coordinate statewide training for office and partner staff on ClientTrack database – including ongoing trouble shooting and trainings.
  • Coordinate with Program staff to identify field-level needs for technical assistance in reporting and tracking data and provide support and technical assistance for ClientTrack database to meet program reporting and data tracking requirements.
  • Build and test custom queries and reports for program staff to inform programming and quality assurance activities.
  • Support KSOR and partner staff in the design of evaluation programs and projects that are outcome focused and informed by learning, research and evidence. Review, and when needed coordinate development of, program and project theory of change.
  • Support program staff in the development of evaluation plans (including log frames), that meet organizational standards, facilitate learning, and client-responsive and GEDI-informed, and improve data-driven service delivery.
  • Actively engage with and support the Office for State Partnerships (OSP) data staff and RAI’s RAL team on all KSOR data needs.
  • Other duties as assigned.

Job Requirements:

  • Bachelor’s degree, preferably in Social Sciences, Information Systems, or a related field.
  • Four years of knowledge or experience in social service, academic, research, or an evaluation environment. Experience in program management software, relational databases, or other information systems for case/client management is strongly preferred.
  • Strong data management skills, with the ability to conduct data analysis from different sources.
  • Knowledge of, or experience with ClientTrack is a plus.
  • Demonstrated experience with Microsoft Office, with a strong background in Excel.
  • Excellent communication skills both written and verbal, English proficiency required. Attention to detail and the ability to follow instructions fully and precisely are essential.
  • Solid organizational, prioritization, and time management skills are required.
  • A flexible work attitude, the ability to work in a team environment, work independently, and meet unexpected demands is a must.
  • Ability to effectively deliver on-site and virtual/remote technical assistance to a diverse and cross-cultural audience.

Working Environment:

  • At home with reliable internet and a set in office work schedule is required. Expectation to travel for meetings and training throughout the state.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
