Strategic office context :
China Country Office is a large country office. While demonstrating results for children at scale inChina, UNICEF also works with the government, private sector, media, and other actors to harnessthe reach and resources of China for the benefit of children in China and globally.
UNICEF works with the Government of China to advance the rights of children. The China CO has several programme sections and in addition increasingly works to develop partnerships across the public and private sectors in China. This post is part of the Partnerships and Innovation section which works to establish partnerships and raise funds from the private sector in support of UNICEF’s programmes.

How can you make a difference?

Under the supervision of the Fundraising Officer NO2, the position of fundraising assistant at theGS5 level is required to assist in the administration, implementation, monitoring and evaluation of fundraising activities.

Key functions, accountabilities and related duties/tasks:

1. Support the smooth running of fundraising activities, including but not limited to:

• Support the processing of data on a monthly basis and extract data from website and enter to master database
• Assist with back-end processes supporting individual fundraising programme
• Extract data and verify data accuracy

2. Assist the Fundraising Officer in the campaign development

• Assist the preparation of proposals and presentations
• Coordinate in setting up relevant agency meetings, including selecting appropriate venues
• Support in developing of processes to ensure smooth operation of fundraising activities in line with UNICEF standard

3. Vendor operation functions to support fundraising officer’s management work, like suppliers management, financial management

• Certifying vendor invoices for accuracy and completeness
• Assist with procurement of services and supplies (eg. competitive bidding processes)
• Submission of finance invoices
• Submission of vendor forms
• Operating VISION for the team
• Raising Purchase Requisition (PREQ) services
• Raising Purchase Order (PO) – for individual consultants
• Raising and closing of TAs for IFR staffs who are traveling
• Raising Fund Commitments (FC)
• Checking on work orders and to ensure all supporting documents are proper
• Monitoring the contracts that are currently open and/ or expiring
• Monitoring total expenditure

4. Assist the Fundraising Officer in suppliers coordination

• Coordinate with suppliers to provide best quality service and production
• Support of seeking better solution for fundraising product quality improvement and product improvement
• Coordinate with warehouse for better product storage
• Help supervisor to coordinate regular meeting with suppliers for aligning requirenment, time-line, quality assurance, delivery requirement and other problem happened during the process

5. Perform other reasonably related duties as assigned by supervisor.

Impact of Results

The fundraising assistant GS5 is key in providing day to day support of fundraising activities, including data support, database updates, suppliers coordination and liaison on fundraising product manufacturing.

Minimum requirements:

  • Education: Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • Work Experience:A minimum of five years of relevant administrative or clerical work experiences.
  • Language Requirements:English and Chinese language skills are required.

Ability to analyze and understand complex datasets is desired.

Ability to communicate and coordinate with multiple suppliers on material design, sample producing, mass production, quality testing is desired.
