POSITION SUMMARY

Reporting to the Governance Lead, the Senior Associate for Governance will play an important role in supporting the governing organs of GGGI and their members, namely the Assembly, the Council, and the Management and Program Sub-Committee. S/he will be supporting the Governance Lead in coordinating with focal points of Member States and partner countries in their participation in governance organ meetings, bilateral meetings and side events, providing logistical support for meetings and diplomatic events, providing support for the election processes of governance organs, and coordinating with internal stakeholders to assist with key Council and Assembly decisions.

PURPOSE

The Senior Associate for Governance plays a pivotal role in supporting the effective functioning of GGGI’s governing bodies, including the Assembly, the Council, and the Management and Program Sub-Committee. Under the direction of the Governance Lead, this position is responsible for ensuring the smooth coordination of governance meetings, diplomatic events, and key decision-making processes. The Senior Associate will facilitate Member State and partner country participation, provide logistical and administrative support, and manage the documentation and institutional memory of GGGI’s governance activities. This role is central to ensuring that GGGI’s governance processes are efficient, transparent, and aligned with the organization’s strategic goals, fostering strong relationships with Member States and partners. Furthermore, the Senior Associate for Governance will play a critical role in supporting the organization of various diplomatic events and conference sessions targeting the diplomatic community in Korea. These events are crucial for securing stronger support from GGGI’s Member States and partner countries, fostering productive engagement and ensuring alignment with the organization’s strategic goals. Through meticulous coordination, the Senior Associate will help strengthen GGGI’s relationships with key stakeholders, enabling effective collaboration and reinforcing support for GGGI’s work across its governance organs.

ENGAGEMENT

  • Liaise with representatives of GGGI Member States and the diplomatic community in Korea to coordinate their participation in GGGI meetings and events.
  • Collaborate with colleagues in the Office of the Director General and country and regional offices to prepare for governance organ meetings, facilitate Member States’ participation, and to support the engagement of GGGI executives with Member State and partner country representatives.
  • Work closely with the Office Enabling Division, particularly the IT and Events teams, to arrange logistical details for meetings and events.

 

DELIVERY

  • Assist the Governance Lead in planning and organizing the meetings of governance organs and high-level events, ensuring meticulous attention to all logistical and administrative details. Coordinate with the events and IT teams to arrange venue selection, catering, audio-visual needs, and other logistical requirements for successful meetings and events.
  • Distribute meeting materials, agendas, and minutes, ensuring timely communication with all participants.
  • Contribute to the preparation of various written materials, including sessional documents, meeting agendas, summary documents, draft decisions, press releases, and presentation materials.
  • Make travel and visa arrangements for delegates attending governance meetings and events, ensuring compliance to organizational policies.
  • Manage official documents and Assembly and Council decisions, ensuring they are published on the website in accordance with GGGI’s Disclosure Policy.
  • Support the Governance Lead in tracking action items and follow-up tasks from meetings and events.
  • Perform any other job-related activities as needed to achieve the overall goals and objectives of the Governance Unit.
  • Support the organization of governance sessions of the Assembly, the Council, and the Management and Program Sub-Committee, as well as diplomatic events of GGGI
  • Effectively manage the documents and decisions of GGGI’s governing bodies to ensure continuity and preserve institutional memory.
  • Support engagement with Member State and partner country focal points to facilitate their active participation in governance meetings, including providing logistical assistance.
  • Assist with the Membership process, ensuring that procedures and information are managed efficiently throughout the organization.
  • Assist with responding to information requests from Member States.

REQUIEREMENTS

QUALIFICATIONS

  • At least 5 years of experience in supporting the work of governing bodies of organizations and/or working with government counterparts supporting intergovernmental dialogue, and in providing logistical support to large meetings, conferences, and events.
  • A bachelor’s degree in international relations, international studies, public administration or a related field.
  • Excellent written and oral English skills to draft official documents of governing organs.
  • Fluency in Korean or another language would be an advantage.

FUNCTIONAL

  • Ability to draft official documents for international organizations, as well as official correspondence including letters, note verbales and other formal communications to government counterparts.
  • Skilled in engaging and communicating with the diplomatic community and government officials in a diplomatic manner.
  • Knowledge of diplomatic protocol, particularly in organizing meetings and events. Protocol experience for Ministers and senior-level officials is highly desired.
  • Knowledge on the inner workings of governance organs of intergovernmental organizations.
  • Experience in coordinating travel support to 20+ persons simultaneously.
  • Ability to deliver high-quality outputs on time and work effectively under high pressure.
  • Ability to work effectively with multi-cultural/-disciplinary teams.
  • Excellent level of computer literacy; knowledge of SharePoint and Salesforce would be an advantage.

WORKING CONDITIONS

This is a National Position at X7 grade level in GGGI’s Republic of Korea (HQ) National salary scale.
