Under the overall supervision of the SOFF Programme Management Officer and the Partnerships Officer the consultant will coordinate the arrangement and coordination of the SOFF Regional Workshop in the Caribbean. The consultant will be responsible to perform the following tasks:

Workshop coordination and logistical arrangements:
1. Engage with relevant stakeholders/partners in the region involved in Early Warnings and climate activities
– Map out events in the region to ensure timing and schedule aligned with;
– Support coordination of key partners in the logistical arragnements;
– Make links as possible with existing initiatives and events.

2. Prepare workshop documents and materials
– Develop workshop agenda, logistical notes and other relevant materials;
– Coordinate inputs of co-organizing on workshop materials.

3. Coordinate arrangements with venues and logistics on the ground
– Arrange venue options and services to be provided for workshop, including interpretation;
– Coordinate logistics note including hotel options, transport to venue, meals etc.

4. Participants arrangements
– Support travel arrangements for participants together with SOFF administrative staff;
– Support visa advice and support as feasible.

Technical mateterial development and coordination:
5. Support the development of technical materials and workshop arrangements
– Together with SOFF Operational staff, prepare agenda and session plan;
– Prepare draft technical material for presentations and coordination with speakers for inputs during sessions.

QUALIFICATIONS
Education
Bachelors degree in communications, international relationsions, project management or relevant field.
Experience
A minimum of 8 years experience in programme management, communications and international development. A strong knowledge of the region is essential and a knowledge of technical areas and key stakeholders in the region.
Other requirements
– Strong attention to detail and understanding of event coordination.
– Work in the field of Meteorology, Early warnings systems an asset.
Languages
Excellent knowledge of English and Spanish (both oral and written). Knowledge of other official languages of the Organization would be an advantage.

(Note: The official languages of the Organization are Arabic, Chinese, English, French, Russian and Spanish.)

Additional Information:
Payband B : approximately 400 USD per day excluding travel related costs.
