Duties and Responsibilities
Under the supervision of the Managing Director, Executive Specialist: − Serves as focal point for all incoming and outgoing communications, including coordinating the submission of inputs and talking points. − Ensures the smooth flow of correspondence to and from the Executive Office. − Reviews and enters in a database all incoming mail, bringing urgent matters to the Managing Director’s attention immediately, with background documentation. − Independently drafts documents, reviews, edits, and proofreads documents, such as notes, memoranda, letters, talking points, etc. submitted for the signature of the Managing Director, paying particular attention to accuracy, grammar, punctuation and style and for adherence to established standards of format. − Responds to or prepares routine correspondence and other communications. − Organizes and maintains an up-to-date filing system comprising correspondence and documentation, including that of a confidential and political nature. − Prepares relevant background material and documents for meetings and conferences in which the Managing Director is involved and communicates information to appropriate participants − Maintains the Managing Director’s calendar and schedule of appointments. − Ensures that recurring key meetings take place in the expected frequency and arranges all logistics for these meetings and, when appropriate, drafts meeting minutes. − Monitors deadlines for completion of requested tasks and draws the Managing Director’s attention to pending deadlines. − Liaises with participants of meetings in which the Managing Director is involved. − Responds to moderately complex information requests and inquiries, including of a sensitive nature, or refers calls/visitors to appropriate staff member. − Using discretion and tact, filters telephone calls and visitors for the Managing Director. − Undertakes all administrative functions pertaining to the Managing Director’s needs. − Makes all travel arrangements for the Managing Director, including visa formalities and tickets. − Keeps abreast of ongoing matters/issues in the Executive Office. − Identifies diverse issues/problems as they arise and raises them with the Managing Director. − Coordinates extensively with UN TBLDC staff and outside officials with regards to all of the above duties. − Independently carries out routine matters, which do not require the intervention of the Managing Director.
Qualifications/special skills
High School Diploma is required. At least 10 years of experience in administrative services, finance, accounting, audit, human resources or related area is required. The minimum years of relevant experience is reduced to 8 years for candidates who possess a first-level university degree or higher.
