About this position

 

We are looking for a dynamic, resourceful, and innovative Administrative Consultant, who will support the Operations Advisors and Operations Team in the areas of human resources, knowledge, recognition, and general services administration.

You will work in the Front Office of the Country Department Central America, Haiti, Mexico, Panama, and the Dominican Republic. Under this contract, you will report to the CID RPA Sr. Specialist and work in collaboration with other corporate team members.

What you’ll do

 

Human resources, knowledge and recognition

  • Provide advice on the interpretation and application of the IDB Human Resources’ policies, procedures and systems.
  • Support the internal onboarding and offboarding program for CID employees.
  • Process the hiring of consultants and contract renewal in compliance with HR policies.
  • Support the coordination of the training plan for the operations team.
  • Actively promote a positive and engaging work environment by supporting the implementation of relevant HR exercises, such as work-life balance, diversity and inclusion, strengthening collaboration and teamwork, team building, and well-being events.
  • Collaborate to ensure compliance of staff time reporting, leave administration, mandatory courses, among other corporate requirements.
  • Monitor the execution and disbursements of the Front Office’s contracts in coordination with supervisors.

Office administration

  • Provide information and guidance on the application of IDB administrative policies, regulations, and procedures.
  • Collaborate in the organization and implementation of special projects and initiatives.
  • Assist with space management logistics and coordinate computer/telephone requests and needs.
  • Monitors the purchasing of goods/services.
  • Coordinate travel arrangements and process Travel Authorizations and Statement of Expenses in Concur.
  • Organize and maintain up to date records and files accordingly in CID EzShare.

Event coordination

  • Coordinate the logistics arrangements of meetings, workshops, forums and any other events, including agendas, participant lists, budget, as well as coordination with internal and external stakeholders.

 

What you’ll need

  • Education: Bachelor’s degree or equivalent in Business Administration or other fields relevant to the responsibilities of the role.
  • Experience: At least 2 years of progressive experience in budget, procurement, and office administration.
  • Languages: Proficiency in Spanish and English, spoken and written, is required. Additional knowledge of French and Portuguese is preferable.

Requirements

  • Citizenship: You are a citizen of one of our 48-member countries.
  • Consanguinity: You have no family members (up to the fourth degree of consanguinity and second degree of affinity, including spouse) working at the IDB, IDB Invest, or IDB Lab.

Type of contract and duration

  • Type of contract: International Consultant Full-Time.
  • Length of contract: between 6 and 8 months.
  • Work Location: On site.
