Organizational Setting and Reporting Relationship
The position of Senior Operations Assistant is assigned to the Portfolio Management Division (PSPM) within the Private Sector Operations Department. You will be based at our Headquarters in Manila, Philippines.
You will report to the Director, PSPM, designated International Staff and senior National Staff.
Your Role
As a Senior Operations Assistant, you will provide operational support to PSPM Front Office for the smooth office operations; perform coordination and administrative work; coordinate and facilitate inter-departmental activities; and assist in organizing PSPM-wide activities.
You will:
- Support data collection and analysis, and production of presentation decks for governance forums and other knowledge sharing events
- Help gather data and consolidate inputs to briefing notes, back-to-office reports, and portfolio monitoring reports.
- Maintain computer-based portfolio information system and team outputs and deliverables, and coordinate requests for project information.
- Contribute to the development of systems, databases and trackers for efficient monitoring and retrieval of information.
- Manage and review document requests and monitor required actions and submission.
- Facilitate inputs on ADB systems such as eOps and Concur, among others.
- Respond to routine memos/correspondence/emails for PSPM Front Office (FO) following ADB standards.
- Coordinate with all stakeholders on Investment Committee matters; and help design initiatives to facilitate PSPM’s interaction with other departments.
- Provide support in organizing meetings, team building and strategic planning, among others; and coordinate PSPM’s participation in activities of internal committees, working groups and external institutions.
- Administer activities relating to PSPM’s budget including planning, preparation and management.
- Oversee PSPM FO meetings and business travel including preparation of agenda and client coordination, among others; and review of travel requests for Director PSPM approval.
- Act as focal person on HR matters and provide support on consultant engagement and contract administration.
- Mentor junior staff on the application and interpretation of work procedures and guidelines.
- Perform other tasks in consonance with the role and workplan.
Qualifications
You will need:
- Bachelor’s degree in Business Administration, Finance, or relevant fields
- At least 5 years of relevant professional experience.
- Experience in nonsovereign project administration
- Advance knowledge of Microsoft tools, like Word, Excel and PowerPoint used in multilateral organizations
- Ability to work with teams as a constructive team member
- Ability to exercise judgment on matters of confidentiality and those requiring urgent attention
- Excellent command of written and spoken English
