JOB DESCRIPTION

These strategic locations have allowed NRC greater reach from the north and south parts of the North-East and North Central region and allowed NRC to contribute to bridging the gap between humanitarian aid and development cooperation, including by focusing on equitable access to basic services and strengthening the rights of displaced people and returnees. In addition to the Country Office and the above-mentioned Area Offices, NRC has sub-office structures in Dikwa, Monguno, Biu, Mubi, Pulka, and Gwoza.

If you are those people, the Norwegian Refugee Council in Nigeria is looking for an enthusiastic, passionate Logistics Intern Nigeria Yola to join our team in Area South, Adamawa State

Role and Responsibilities

The Logistics Intern will support the logistics operations for NRC’s Area Office in Adamawa State, Nigeria. S/he will assist in ensuring the timely procurement, storage, and distribution of materials and supplies to support NRC Nigeria’s programs in the area. The intern will help ensure that all logistics activities comply with quality, safety, and compliance standards while assisting in resource optimization and cost management. The Logistics Intern will also support Project Managers and other staff in coordinating transportation, warehousing, inventory management, and logistical documentation.

 

  • Generic Responsibilities:
  • Assist the warehouse team in ensuring smooth operations and contribute to capacity-building efforts under the supervision of senior logistics staff.
  • Ensure that logistics activities are carried out in compliance with NRC’s Logistics Handbook, organizational policies, and donor requirements.
  • Support efforts to maintain anti-corruption, transparency, and cost-efficiency principles in all logistics operations.
  • Help in organizing and maintaining an efficient filing system and documentation process in line with NRC standards.
  • Assist in managing inventory and ensuring warehouse management systems are followed.
  • Assist in preparing and submitting monthly logistics reports to the Logistics Coordinator.

 

Specific Responsibilities:

  • Procurement Support:
  • Assist in ensuring that all procurement activities comply with NRC logistics policies and donor regulations.
  • Review procurement documents (e.g., bid analysis, purchase orders, payment documents) for accuracy before submission for approval.
  • Support the supplier pre-qualification process and conduct market surveys to identify suitable suppliers.

 

  • Fleet Management Support:
  • Assist in tracking and managing vehicles, ensuring they are properly utilized for area office activities.
  • Support vehicle servicing, maintenance, and fueling as per schedules.
  • Ensure vehicles have valid and up-to-date documentation.
  • Assist in managing travel requests and keeping the Staff Movement Board updated.
  • Support in preparing vehicle and generator performance reports.

 

  • Asset Management Support:
  • Assist in maintaining updated records of assets.
  • Support the management of staff-issued assets and document asset movements and disposals.
  • Help update the asset register and submit it to the country office on a half-year basis.

 

  • Filing and Documentation Support:
  • Assist in conducting spot checks to ensure proper document filing on O365 in line with required quality standards.
  • Help ensure vendors and consultants have valid background checks and maintain an up-to-date register of these checks.

 

  • Stock Management and Inventory Support:
  • Assist in periodic cycle counts to ensure adherence to stock management systems.
  • Support year-end stock inventories and assist in preparing inventory reports.
  • Help in the establishment of reliable stock distribution plans to avoid expired or unusable items.
  • Support storekeepers with their daily tasks and reporting functions.

 

  • Warehouse Operations Support:
  • Assist in maintaining proper stock-keeping records, ensuring good storage conditions, and supporting security measures.
  • Help in receiving, handling, storing, and dispatching goods through NRC warehouses.
  • Support maintaining documentation for staff designated to receive and dispatch goods.

 

  • Materials Receiving and Dispatch Support:
  • Assist in receiving materials from suppliers and other sources, ensuring proper documentation.
  • Help inspect materials upon receipt and update required documentation.
  • Assist in liaising with the Logistics Coordinator to track inventory levels and identify shortages.
  • Support in dispatching materials and updating dispatch documents.

 

  • Warehouse Documentation and Reporting:
  • Help maintain the Warehouse activity book for all incoming and outgoing materials.
  • Ensure that the Warehouse Authorization Schedule is up-to-date.
  • Support monthly stock counts and provide accurate reports on inventory.
  • Assist with the 10% inventory cycle count and internal inventory checks.
  • Support the implementation of stock management procedures such as FIFO, FEFO, and LIFO.

 

  • Warehouse Organization and Support:
  • Assist in organizing storage facilities with appropriate layouts and clear signage.
  • Help supervise casual laborers and assign tasks related to warehouse operations.

 

  • Warehouse Safety and Security Support:
  • Assist in ensuring the physical security of the warehouse by restricting access to authorized personnel.
  • Support in maintaining clear safety procedures and ensure that warehouse equipment is in good condition.
  • Help ensure the warehouse is fumigated regularly to prevent pests and rodents.
  • Assist with the periodic servicing of fire extinguishers and other safety equipment.

Competencies 

Generic Professional Competencies: 

  • Bachelor’s degree in supply chain management or any other supply chain related field.
  • Fluency in English, both written and verbal
  • Office organization skills,
  • Computer skills (Microsoft Office)
  • Good communication skills
  • Capable of handling pressure
  • Fluency in English, Hausa is an asset
