Organizational Setting and Reporting Relationship
The position Operations Assistant is assigned to the Georgia Resident Mission (GRM) within the Central and West Asia Department (CWRD). You will be based at our Resident Mission in Georgia.
You will report to Country Director, GRM and/or designated International Staff.
Your Role
As an Operations Assistant, you will perform a range of administrative responsibilities for the Country Director and International Staff in support of GRM activities and operations. You will provide support in office operations and some project administration and portfolio management activities, and other administrative support activities as may be directed by the supervisor.
You will:
- Ensure that all correspondence and documents for supervisors are correctly prepared and submitted on time in compliance with ADB’s standards.
- Maintain liaison with government authorities and agencies, development partners and other stakeholders, and ADB HQ to support and facilitate operations and coordination.
- Ensure intra-office communications, including dissemination of information, both from within GRM and from HQ.
- Ensure all the incoming mails are logged, properly distributed, and brought to the attention of concerned staff, and that outgoing communications are delivered on time. Translate incoming correspondence and do interpretation during meetings with government official when required.
- Provide efficient reception services by screening incoming telephone calls, taking accurate messages, dealing with queries from internal/external calls to ensure they are referred in a timely manner to the concerned staff.
- Ensure the effective coordination of supervisors’ schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by supervisors in accordance with ADB procedures. Prepare and keep record of meeting minutes when required.
- Help prepare Aide Memoirs, slide presentations, background papers, back-to-office reports and other reports as assigned.
- Assist with tasks related to project processing functions of the assigned sector/unit.
- Arrange missions and travel through Concur System and arranging transportation as needed.
- Ensure the office filing systems (both electronic and paper) are properly maintained and updated in accordance with an existing framework for easy retrieval. Maintain relevant database.
- Support in organizing and managing internal and external events, conferences, workshops, and other related activities.
- Perform any other duties as may be required and reflected in the incumbent’s work plan.
Qualifications
You will need:
- Bachelor’s degree in Finance, Accounting, Business Administration, or related fields of study.
- At least 5 years of relevant work experience; preferably with related experience in international agencies.
- Proficiency in standard software programs and information technologies such as in MS Office Suite (Outlook, Word, Excel, and PowerPoint, Sharepoint)·
- Familiarity with videoconferencing tools (MS Teams, Zoom, Webex, etc.)
- Excellent administrative and organizational skills, with attention to details; ability to handle numerous responsibilities simultaneously.
- Ability to liaise and work effectively with staff within own work location, and with other ADB stakeholders.
- Ability to work collaboratively with teams as a constructive team member.
- Excellent verbal and written communication skills both in English and Georgian language.

Additional Information
ADB will be rolling out a new job grading structure on 1 January 2025, which may result in a change of the position grade and title with no change in the terms of reference. By proceeding with your application, you acknowledge and accept all changes resulting from the new job grading structure.
