JOB DESCRIPTION

Job Summary:

You will coordinate the provision of responsive, effective, and efficient administrative services in support of Catholic Relief Services’ (CRS) mission to serve the poor and vulnerable. You will help ensure resource stewardship and a high-quality service approach are integrated into administrative systems, policies, and procedures.
This position covers all aspects of Administration and is responsible for ensuring that office facilities are well maintained, cleaned, and comfortable to live and work in.

Primary Function:

This position is specifically responsible for carrying out activities related to the office facilities. The Senior Administration Officer will conduct all administrative support functions simultaneously while ensuring compliance with CRS and donor regulations for all facility maintenance, power systems, and general administration.

Roles and Key Responsibilities:

Administrative Management

  • Coordinate and report on administrative activities and required resources
  • Ensure administrative systems comply with agency standards and donor regulations
  • Manage relationships with external stakeholders (government officials, landlords, service providers)
  • Oversee CP assets and facility usage
  • Working with CP Supply Chain Team, support procurement of office materials and manage asset systems
  • Working with State Security Focal Person and Security Manager, Implement safety protocols and maintain a secure work environment
  • Supervise Cleaners and Security Guards.

Project Support

  • Support BASICS project implementation through efficient administrative services
  • Coordinate travel and logistics for project staff and visitors
  • Manage event planning for project activities
  • Ensure proper documentation and filing systems
  • Support budget management and financial compliance

Facility Management

  • Oversee facility maintenance, repairs, and improvements
  • Coordinate office space allocation and usage
  • With Support from Abuja, Manage off-grid power systems, especially solar Installation
  • Ensure all utilities and systems are functioning optimally

Knowledge, Skills, and Abilities 

  • Good planning, organizational, and time management skills
  • Strong customer service orientation with very good communication and interpersonal skills
  • Ethical conduct and ability to maintain confidentiality.
  • Proactive, resourceful, solutions-oriented and results-oriented

Preferred Qualifications

  • Additional education may substitute for some experience.
  • Experience and proficient skills in MS Office packages (Excel, Word, PowerPoint, Visio) and information management systems.

Languages – English (oral and written)

Travel – Must be willing and able to travel up to 25 %.

Supervisory Responsibilities: Admin Officers, Assistants and Interns

Key Working Relationships: 

Internal: Management Team, Finance staff, Program staff in other CRS Country Programs.

External: Representatives of other Projects, Contractors, Government representatives and

stakeholders of the CRS Nigeria Program.

Basic Qualifications

  • Bachelor’s degree in business administration or relevant field preferred. Master’s will be a plus.
  • Minimum of 4 years of work experience in administrative support functions, with increasing responsibility.
  • Experience with a local or international NGO a plus.

General Requirements

CRS offers are contingent on the selected candidate’s ability to legally work where the position is to be performed. Every government has a unique set of work permit eligibility requirements.  All positions requiring residence or frequent travel outside a home country must undergo and clear a pre-employment medical clearance; some work permit processes require clearing a separate government administered medical examination.
