About the position
Based in Montpellier, France and under the supervision of the Country Office Manager, the Accounting Assistant II will provide support to the accounting team in the Montpellier office.
Responsibilities
The Accounting Assistant II will perform a combination of the following duties and responsibilities:
- Manage the accounting department dedicated email account and download invoices from suppliers’ websites whenever necessary.
- Check and register accounts payable documents into the accounting system such as invoices, contracts, etc.
- Maintain electronic files of the supporting documentation related to the transaction posted in the accounting system, in compliance with the archiving policy.
- Prepare payment authorizations, submit for validation and input payments in online banking system.
- Send payment confirmations to requestor or beneficiary staff member.
- Update Excel EUROS & USD ledgers.
- Provide back-up for Accounting Coordinator position in case of extended leave (>1 week) by performing payments registration in accounting software.
- Record Petty Cash & Credit Card payments in ledger, prepare the related excel document and input in accounting software after verification by the accounting Coordinator.
- Prepare bank reconciliations during the month, upon receipt of bank statement and end of month bank reconciliation form for Accounting Coordinator approval.
- Liaise with banks on payment incidents.
- Prepare VAT file monthly, for annual VAT claim.
- Manage exoneration requests to Ministry in dedicated platform for Country Office Manager validation.
- Assist the Accounting Coordinator in the role of Processor in reviewing the supporting documentation attached to Travel Expense reports whenever necessary.
- Assist the Accounting coordinator during institutional and project audits.
- Prepare correspondence with banks and other financial institutions.
- Any other duties as required.
Requirements
- Secondary school education supplemented by office training or related courses.
- Degree in economics, accounting, finance, or related fields, is desirable.
- Previous relevant work experience, preferably in an international organization.
- Proficiency in Microsoft Office package (Word, Excel, PowerPoint, Teams and Outlook).
- Sound knowledge of standard office procedures.
- Strong client orientation and service approach.
- Strong interpersonal, communications, and teamwork skills; courtesy, tact, and the ability to establish and maintain effective working relationships with people from different cultural and national backgrounds.
- Well-developed skills in personal organization, priority setting, problem-solving, and accuracy.
- Excellent command of English and French, both written and spoken.
- Intermediate command of Spanish, both written and spoken, is an asset.
Benefits
Terms of employment
This is a locally recruited position based in Montpellier, France. The position is level 5, on a scale of 14 levels, with level 14 being the highest. The salary range starts from Euro 31,180 per annum. All benefits are denominated and paid in EURO. The salary is exempt from French income tax (an internal taxation is applied). The remuneration package includes a competitive salary, leave provisions, medical and life insurance, and non-contributory retirement plan. The contract will be for a period of two years, subject to a probationary period of 6 months, and is renewable subject to performance, project needs and availability of funds.
