Duties and Responsibilities
This internship announcement is valid for two (2) candidates who will intern in the Human Resources Unit, Executive Office, Department of Global Communications in New York. Administrative Support: • Review the staffing table and monitor post movements. • Assist with daily administrative tasks, including maintaining employee records, updating databases, and organizing documents. • Support the HR Officer in establishing a time and attendance monitoring system. • Help prepare HR-related reports, memos, and correspondence. Employee Relations and Communication: • Assist in drafting internal communications related to HR processes. • Monitor the completion of mandatory staff trainings and performance management reports. Data Management and Reporting: • Assist in collecting, managing, and analyzing HR data for reporting purposes using tools such as Excel and Power BI. • Assist the HR Officers in building the HR dashboards in Power BI. • Track staff contracts, leave entitlements, and training completion. • Support the HR Officer in analyzing data related to workplace well-being, staff engagement, and diversity and inclusion initiatives. • Provide monthly reports to the heads of divisions on the status of performance management and mandatory training completion. • Perform other duties as required.
Qualifications/special skills
Applicants must meet one of the following requirements: (a) Be enrolled in, or have completed, the final academic year of a first university degree programme (minimum bachelor’s degree or equivalent). (b) Be enrolled in, or have completed, a graduate school programme (second university degree or equivalent, or higher) Applicants to the UN Internship Programme are not required to have professional work experience; however, a field of study that is related to the type of internship is required. Applicants must be a student in the final year of the first university degree (Bachelor or equivalent), Master’s or Ph.D. Programme or equivalent, or have completed a Bachelor’s, Master’s or Ph.D. Programme. If you meet any of the above criteria, please indicate which one and attach proof to the application. Please note that you will have to provide an official certificate at a later stage. Applicants must have a strong knowledge of standard software applications, including MS Excel, MS Outlook, MS Word, MS PowerPoint, and MS SharePoint. Experience with building dashboards in Power BI is highly desirable. Previous experience providing administrative support is desirable. Prior experience in Human Resources Administration and statistics is an asset. Experience in database management and archiving is also desirable.
Languages
English and French are the working languages of the United Nations Secretariat. Fluency in English is required for this internship. Knowledge of another official language of the United Nations is desirable.
