JOB DESCRIPTION

Role and responsibilities

The Logistics and Admin Intern will assist the logistics and Admin departments with tasks to ensure the smooth running of the operations. This is a learning opportunity for individuals looking to gain practical experience in logistics in the NGO sector.

Key Responsibilities

Logistics:

  1. Support the team in the supplier prequalification process
  2. Participate in a market assessment exercise led by the logistics team.
  3. Assist in the procurement process by collecting quotations, preparing purchase orders and ensuring compliance with procurement policies.
  4. Expedite suppliers to ensure timely delivery of goods and services and address any delays or issues.
  5. Maintain and update the asset inventory, ensuring accurate record-keeping for office equipment and supplies.
  6. Ensure proper documentation and filling in logistics documents on Office 365 for easy retrieval and audit readiness.
  7. Assist in data entry and updating databases, ensuring accuracy and completeness of information
  8. Support the asset disposal process in accordance with organizational policies and procedures.
  9. Collaborate with suppliers to build and maintain good working relationships.

Admin:

  1. Ensure proper and systematic filing of all personnel files
  2. Providing logistical support for recruitment processes
  3. Coordinating appointments and background/reference checks, and communicating benefit information
  4. Induction of new staff, schedule briefing with relevant departments and assist in email address requests for new staff
  5. Prepare new staff (ID cards)
  6. Ensure that office and guest house supplies are requested for and timely distributed
  7. Compliance (Timesheet, and Leave)
  8. Any other task assigned by the Line Manager

Other Duties: Perform any other duties assigned by the supervisor to support the smooth functioning of the office and project operations.

Our Ideal Candidate:

  • Recent graduate with a degree in Supply Chain Management, Business Administration, or a related field. Preference is given to candidates with higher academic achievements.
  • Basic understanding of operations and logistics management.
  • Strong organizational skills and attention to detail.
  • Proficient in Microsoft Office (Excel, Word, PowerPoint).
  • Good communication and interpersonal skills, with the ability to work as part of a team.
  • Ability to manage multiple tasks and meet deadlines.
  • Interested in working in the NGO sector and contributing to humanitarian causes.
  • Fluency in English is required.
