JOB DESCRIPTION

Generic responsibilities

  1. Ensure adherence to NRC policies, handbooks, guidelines, SOP’s and donor requirements.
  2. Implement delegated logistic functions portfolio according to Plan of Action
  3. Conduct and follow up daily operational logistics activities.
  4. Support the administration of resources so that deliverables are achieved within set budgets, timelines and standards.
  5. Prepare and develop logistic reports as required by Country Office
  6. Ensure proper filing of all support documents according to Securing Supporting Documentation (SSD) SOP
  7. Promote and share ideas for improvement of the logistic function

Specific Responsibilities 

Fleet Management

  1. Ensure proper fleet management and vehicle utilization at the Area office, and ensure adherence to the MOVCON SOP
  2. Coordination with Programme staff for preparing monthly movement plan
  3. Coordination with the vehicle rental firms for the delivery of required vehicles on need basis and as per movement plan
  4. Coordination with Fuel station to ensure timely fuelling of vehicles and processing of monthly payments for fuelling.
  5. Filing of all vehicle records and reports, and prepare requisitions for Fuelling, repair & maintenance for vehicles and generators on need basis.
  6. Closely monitor fuelling of vehicles and generators, and provide monthly fuel and consumption report for payments
  7. Ensure that vehicles are equipped with necessary documents and equipment
  8. Ensure safe and efficient transport of staff and materials/goods
  9. Ensure timely reporting of eventualities like accidents and breakdowns

Area Office Stock Management:

  1. Ensure that the AO stock has been managed in compliance to Logistics Handbook and SOP of NRC Mozambique
  2. Ensure all stock items have been recorded timely and necessary paper works shall be completed against each inward or outward transaction of stock items
  3. Ensure each stock item has a stock card which shall be updated against each transaction
  4. Generate and share updated stock report of Area office at the end of each month and for onward sharing with Finance and Programme on need basis
  5. Ensure that stock of AO office supplies and stationery and other consumable items like printer toners have been timely replenished and buffer stock has always been maintained keeping in view consumption behavior of each item.

Other Responsibilities

  1. Receive and transport material required to be delivered to AO or any field office through UNHAS service in Mozambique or local transport service providers
  2. Ensure timely processing of different payments related to office administration and logistics
  3. Support in day-to-day administrative needs of the office and other NRC premises in the area of responsibility, identify and report need for minor repair and maintenance, plumbing and electrification required, staff accommodation
  4. Ensure timely coordination with Landlord of Area office hired by NRC to resolve issues identified in property for repair & maintenance.
  5. Ensure monthly utility bills of office and staff accommodation are timely processed and paid
  6. Support with arrangement of official events and meetings in coordination with the requesters, when required
