THE ROLE
– Coordinate the overall management, coordination and supply of fuel for the humanitarian operations in AFCO,
– Correctly Order, Issue, and record all Fuel transactions in FMS (Fleet Management System). To refuel trucks in Kabul Fleet,
– Ensure that the strategic and local reserves of fuel are always maintained at adequate levels. Produce consolidated fuel reports, daily, monthly, quarterly, annually, or when required.
– Produce consolidated spare parts inventory reports, daily, monthly, quarterly, annually, or when required. Will perform daily reconciliation exercises of all records and transactions performed within the same day and ensure that data validation, integrity and accuracy of data are maintained.
– Place Spare Parts, Tyres, and consumables timely to cover all Area Offices workshop operations.
KEY ACCOUNTABILITIES: (not all-inclusive, nor exhaustive):
1. Ensure that the strategic and local reserves of fuel are always maintained at adequate levels. Produce consolidated fuel reports, daily, monthly, quarterly, annually, or when required. Correctly Order, Issue, and record all Fuel transactions in FMS (Fleet Management System). To refuel trucks in Kabul Fleet following all safety fuel procedures,
2. Ensure that the strategic and local reserves of fuel are always maintained at adequate levels. Produce consolidated fuel reports, daily, monthly, quarterly, annually, or when required.
3. Responsible to ensure that all spare parts and materials are received, stored in a safe, secure environment using the most efficient layout with maximum space utilization, and provide adequate treatment as necessary.
4. Follow established tracking mechanisms for tyre management. Preparation and checking of reports and ensure that reports are produced on accurate and timely basis.
5. Analyze data produced from the FMS and convert it into useful management information to produce routine daily, weekly, monthly, & adhoc reports as per required by CO fleet management.
6. To perform any other duties requested by immediate supervisor.
Performance criteria:
• Ensure that all relevant documents and data as trips, job cards, fuel, spare parts etc. are entered into the system and produce the required reports on accurate a timely basis.
• Ensure that any data/information or reports requested are promptly provided and expedited in an efficient manner.
• Send/receive data transmissions (replications) on a daily basis as set by immediate supervisor.
QUALIFICATIONS AND EXPERIENCE:
Education: Completion of secondary school education. Completed an Automotive, Supply Chain or Fuel/Spare Parts course at technical college, university, or similar institution.
Experience: Minimum four year of experience in Fuel and Spare Parts management job in a company/NGO or UN.
Language: Fluency in both oral and written communication in English and local languages (Pashto/Dari)
