Your Role
As an Operations Analyst, you will provide support for the implementation of various activities and initiatives across the broad spectrum of DIG’s work plan, including support for project and technical assistance (TA) processing and administration, events and knowledge management, digital communication, data generation, collection, analysis and reporting, and general administrative support. You will also contribute to broader Sectors Group work as required, including performing activities in support of ADB’s organizational resilience.
You will:
a. Project and TA Processing and Administration
- Participate actively in the preparation and implementation of TAs and loan projects by: processing TA papers and project documents, including regular updating of the Project Data Sheet and other related systems to reflect most recent processing events, preparing TA and/or project-related correspondences;
- Coordinate logistical arrangements for TA and/or project-related conferences, workshops or meetings;
- Communicate, liaise with consultants, and monitor their outputs;
- Review various TA and/or project-related documents;
- Monitor available funds, and TA and project completion dates;
- Prepare draft contract variations; and
- Maintain and update TA and project files and records, and prepare periodic status reports on project administration and implementation and preparation of Completion Reports.
b. Knowledge Management, Events and Communications
- Contribute independently in the operations of DIG committee and network by coordinating logistical arrangements for committee or network meetings, presentations, and seminars;
- Coordinate committee reports and prepare correspondences;
- Maintain appropriate records and databases to monitor DIG network activities, including meetings and review of project documents;
- Update DIG databases and/or websites;
- Prepare and monitor correspondences and related invitations received for international conferences, seminars, or workshops;
- Communicate and liaise with DIG committee and network members; and
- Collect, compile, and analyze relevant information and data related to the DIG area to produce routine and/or ad hoc statistics/reports as instructed.
- Support delivery of a wide range of virtual and physical events, from initial planning and event promotion, liaison with speakers, internal coordination on communications and logistics, budget and contractual requirements, technical IT support, travel and accommodation arrangements, event management and post-event tasks such as report-writing and uploading of presentations for dissemination and public access.
- Prepare the DIG e-Newsletter monthly for distribution to subscriber
- Other duties that may be assigned to contribute to the work of the DIG as agreed with and reflected in the staff’s workplan.
Qualifications
You will need:
- Bachelor’s degree in finance, business administration, public administration, or related disciplines
- At least 5 years of hands-on experience in portfolio management, project administration, budget preparation/monitoring, and/or project processing activities related to loans and TA projects.
- Familiarity with good industry practices and guidelines within area of expertise
- Strong analytical, interpersonal, and cross-cultural skills
- Sound understanding of ADB procedures and practices related to TA and loan/grant project processing and administration, including safeguards compliance.
- Excellent oral and written communication skills in English
- Proficiency with computer-based applications.
