JOB DESCRIPTION

 

To manage the receipt, dispatch, handling, and storage of commodities, ensuring optimal stock rotation, loss prevention, and operational efficiency in line with WFP’s warehouse management standards. The role also supports cross-border prepositioning strategies by maintaining real-time visibility on stocks and coordinating with transport and customs teams.

Key Responsibilities

Warehouse Operations & Inventory Management

Receive and dispatch commodities while ensuring accurate stock counts, quality control, and compliance with customs and operational documentation (waybills, B/L, delivery notes).

Maintain FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out) inventory rotation to minimize losses and support food safety.

Implement standardized stacking and palletizing procedures to optimize space utilization and safeguard stock integrity.

Conduct daily and monthly physical stock counts to prevent discrepancies and ensure alignment with corporate inventory systems.

Ensure proper temperature and humidity control in warehouses storing temperature-sensitive items.

Prepositioning & Corridor Logistics Support

Align stock levels with prepositioning plans to ensure readiness for emergency response and replenishment strategies.

Coordinate with transport teams, customs agents, and border authorities to facilitate timely cargo movement along the corridor.

Work closely with the customs clearance team to ensure all required documentation and duty exemptions are in place.

Monitor and report on storage capacity, operational constraints, and clearance bottlenecks affecting prepositioning efforts.

Loss Prevention & Quality Assurance

Implement stock monitoring and warehouse security measures to prevent losses and unauthorized access.

Identify and analyze causes of stock discrepancies and damages, report on findings, and propose corrective actions.

Maintain detailed records of damaged commodities, pest infestations, and spoilage risks, ensuring compliance with WFP Food Safety & Quality Assurance (FSQA) guidelines.

Ensure regular fumigation and pest control programs in collaboration with logistics and quality control teams.

Reporting & Compliance

Maintain accurate warehouse records, including real-time stock reconciliations in WFP’s corporate logistics systems (LESS, WINGS, or equivalent).

Prepare daily, weekly, and monthly reports on stock movements, dispatches, and losses, ensuring transparency and accountability.

Assist in audit processes by providing accurate inventory records and compliance documentation.

Ensure compliance with local and international warehousing regulations, including CEMAC customs procedures for transit goods.

Capacity Building & Team Supervision

Provide on-the-job training and technical guidance to warehouse personnel to improve efficiency and compliance.

Support the implementation of Standard Operating Procedures (SOPs) for warehouse operations and security.

Promote a culture of accountability and professional growth within the warehouse team.

Required Competencies

Strong understanding of humanitarian supply chain operations, particularly prepositioning and corridor logistics.

Expertise in inventory control, warehousing best practices, and loss mitigation strategies.

Knowledge of WFP logistics tools (LESS, WINGS, SAP, or equivalent) for stock management and reporting.

Familiarity with CEMAC customs regulations, import/export procedures, and duty exemptions for humanitarian goods.

Ability to coordinate with transporters, customs authorities, and port operators for efficient cargo clearance and movement.

Proactive problem-solving skills, with the ability to identify bottlenecks and propose operational improvements.

Education

Completion of secondary school education.

A post-secondary certificate in logistics, supply chain management, or warehouse operations is desirable.

Additional training in customs regulations, transport management, or food safety standards is an advantage.

Desirable Knowledge & Skills

Strong computer literacy, including Excel, warehouse database tools, and reporting software.

Understanding of climate-controlled storage, warehouse security protocols, and fleet coordination.

Knowledge of food handling and safety regulations applicable to humanitarian operations.

Application Process

Experience

At least 4 years of experience in logistics, warehouse management, or supply chain operations.

Experience working with humanitarian organizations, UN agencies, or international NGOs is highly desirable.

Experience in prepositioning warehouse management and handling cross-border logistics is an advantage.

Experience using inventory management systems for tracking food and non-food items (e.g., LESS, WINGS).

Language Requirements

Fluency in French and English (both oral and written).

Knowledge of local languages spoken in the corridor countries (Cameroon, Chad, CAR) is an asset.
