Task description
In particular, the Online Volunteer, who under the guidance of the External Relations Officer and in close collaboration with the IT and communications team will support us by producing one software communication tool solution and assigned with the following tasks:
1. Understand WHO needs for the tool to be developed according to it. To better understand the needs and ensure the requirements is clear the Online Volunteer will have close meetings with WHO IT and Comms teams.
2. Develop one software communication tool solution that includes the following key features.
Key Features of the proposed Tool/Solution
Communication Planning and Scheduling:
• Microsoft Lists to improve our central communication planning tool. Or any other free softwareif needed.
• Users can create and manage communication plans, assign tasks to responsible persons, and set deadlines for social media posts, website updates, events, and other communication products.
• Columns could include fields for the type of content (e.g., social media, press release, website), assigned person, deadlines, donors, approval by 3 at least person, actual clearance process status, impact metrics, and notes.
• The tool must accept files in the following extensions: .doc, .pdf, .jpg, .png, .xls
• Define roles for authors, reviewers, and approvers with real time updates on approval status;
• Implement features for assigning tasks, setting priorities, and generating reminders.
• Notify higher-level users for delayed approvals
Approval Workflow for Communication Products:
• Set up approval workflows with a simple (‘approved click’ that can be monitored and certified) – providing notifications to approver as well as requestor.
• Enable version tracking and automated status updates.
Social Media and Website Tracking:
• Track performance of communication products across social media platforms (e.g., likes, shares, comments, etc.).
• Provide metrics from each communication product (e.g., social media impact, website traffic) and generate statistical reports.

– Microsoft 365 Expertise
– Proficiency in using Microsoft Lists (SharePoint, Power Automate, and Power BI is a plus)
– Workflow Automation: Strong understanding of workflow creation and approval processes using Power Automate or similar tools.
– Software Development: Skills in developing user-friendly software solutions tailored to organizational needs.
Project Management and Collaboration
– Requirement Gathering: Ability to engage with teams (e.g., IT and Communications) to understand and translate organizational needs into technical solutions.
