Key Responsibilities
1. Maintain the fixed assets registry, regularly updating it, and recording all relevant information related to the use and return of any fixed assets borrowed by staff.
2. Support the appropriate storage, security, and maintenance of all fixed assets, coordinating with relevant technical staff for repairs and upkeep.
3. Assist in conducting quarterly monitoring and the annual physical inventory of assets in the IOM Mission and prepare and submit reports to the supervisor.
4. Keep and update the inventory list and tracking database of all IOM assets in the Mission, supporting procedures to manage and safeguard IOM assets and supplies.
5. Support the disposal process of assets according to IOM Procedures.
6. Follow up on the insurance of IOM assets in the Mission through a reputable insurance company under suitable terms and conditions and assist in processing any claims.
7. Tag all assets in the Mission with WAVE – FLEXIPRO asset codes in accordance with IOM regulations
8. Maintain the IOM WAVE – FLEXIPRO asset database for the Mission, including tasks related to asset creation, modification, transfer, and disposal.
9. Keep updated copies of fixed assets registries from field offices, coordinating regularly with respective offices.
10. Undertake other duties as may be assigned
Required Qualifications
Education
- High school diploma with minimum of four years of professional work experience; or,
- Bachelor degree in Business Administration, Accounting, Logistics, Supply, Chain Management or a related field from an accredited academic institution with two years of relevant professional experience.
Experience
- Experience providing support in logistics.
- Familiarity with asset management policies and procedures.
- Proficiency in asset management software and tools WAVE – FLEXIPRO.
- Experience working with staff across different units or departments.
Skills
- Good communication and interpersonal skills to support cooperation with colleagues.
- Basic organizational and record-keeping skills.
- Ability to work as part of a team and follow instructions effectively.
- Willingness to work flexible hours when required to meet deadlines.
Languages
Thorough knowledge of English language is required. Knowledge of local languages is essential.
