PATH’s Center for Vaccine Innovation and Access (CVIA) brings together our expertise across every stage of the long and complex process of vaccine research, development, and delivery to make lifesaving vaccines widely available to children and communities across the world. CVIA’s current portfolio encompasses more than two dozen vaccines either in development or already in use to protect against fifteen different diseases. We work in partnership with national health ministries, pharmaceutical manufacturers, donors, international financing and regulatory organizations, and many others. Within CVIA, the Policy, Access, and Introduction (PAI) functional area leads PATH’s efforts to support countries in all aspects of new vaccine introduction, including implementation, costing, communications, system strengthening, and evaluation.

We seek to recruit an Administrative Assistant who will be responsible for providing administrative support to ensure efficient operation of the office. You will support project leadership and staff by performing a variety of tasks related to office management, communication and liaison. In addition, you will provide the link between  project and the PATH country office staff, as well as other projects. The admin job scope includes communicating via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner. The Administrative Assistant will be based in Lusaka.

Specific duties and responsibilities: 

  • Managing office communication and correspondence.
  • Organize and schedule meetings and appointments.
  • Maintain contact lists.
  • Produce and distribute correspondence memos, letters, faxes and forms.
  • Assist in the preparation of regularly scheduled reports.
  • Devising and maintaining office systems, including data management and filing.
  • Order office supplies.
  • Book travel arrangements.
  • Manage visitors to senior management.
  • Coordinate team meetings, arrangements for guests, tele conferencing, workshops, other project meetings as requested including needs, catering, travel arrangements, hotel suggestions, transport and other necessary details for staff and guests.
  • Support procurement of project goods and services, by working closely with the Country program staff responsible for the procurement function.

Required Skills

  • Diploma in Business Administration or Business Management from a recognized institution, or related field A
  • At least 3 years of proven admin or assistant experience and proven knowledge of office management systems and procedures
  • Time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills.
  • Excellent written and verbal communication skills.
  • Strong organizational and planning skills.
  • Proficiency in MS Office.
