Job Description (Roles and Responsibilities)
The British Consulate General in Milan represents the UK government in northern Italy, and it is now looking for a Consular Assistant to join its Consular Section.

The job holder will work as part of a high performing team delivering first class consular assistance and support to resident and visiting British people across the Italy network. They will build and maintain good working relationships with internal and external stakeholders, to support British nationals in times of difficulty.

The successful candidate will also support the Consul and colleagues in the Italy network to deliver against our strategic objectives.

Roles and responsibilities:

Assistance: 70%

 

  • Provide empathetic consular assistance to British nationals in Italy in line with Consular guidance, whilst ensuring family members in the UK are also informed and supported;
  • Responsibility for auditable official documents and financial transactions;
  • Timely processing of Emergency Travel Documents with welfare assistance where needed and escalation of vulnerable cases;
  • Checking and processing of marriage documentation;
  • Responding to enquiries from local authorities, police and British nationals;
  • Occasional out of hours work responding to a crisis.

Prevention: 15%

 

  • Identify and escalate trends and issues to support prevention initiatives, collaborating closely with colleagues across the Italy and Consular network on projects, campaigns and media messaging;
  • Identify services available from local organisations and professionals to make it easier for British nationals to obtain help;
  • Maintain lists of Italian service providers.Crisis: 10% 
  • Maintain a high level of preparedness to respond effectively to local crises involving British people;
  • Participate in local crisis planning and exercising as part of a mission-wide effort;
  • Collaborate with emergency service agencies and possible deployment in the event of a crisis involving British people;
  • Maintain crisis equipment.Stakeholder engagement: 5% 
  • Liaise and collaborate with local authorities to understand local policies, procedures and how they impact on British nationals and our services. Proactive engagement to solve issues and reduce negative impact.

Essential qualifications, skills and experience
Essential on arrival:

•   Fluency in  English and Italian at C1 level or above according to the CEFR*;
•   Previous experience of at least 2 years in a customer facing role and ability to respond empathetically to customer needs;
•   Previous experience in providing administrative support;
•   Knowledge of Italian government structures and processes;
•   Excellent administrative and organisational skills;
•   Excellent communication and problem-solving skills;
•   Excellent IT skills and knowledge of Microsoft systems;
•   Excellent time management and the ability to work under occasional periods of high stress;
•   Resilience and ability to cope with the challenging nature of consular work;
•   Strong and flexible team player.

Desirable qualifications, skills and experience
Nice to have:

•    Previous consular experience;
•    Previous experience in international organizations, NGOs or diplomatic missions.

Other benefits and conditions of employment
This is a full-time, temporary position of 11 months, graded AA according to the FCDO grading structure. The expected end date for this position is 10th October 2026. The monthly gross salary is Euro 2,349. The salary is paid monthly 14 times per year including €10.33 EDR paid 13 times per year, with double salary payments in June and December. If working less than a full calendar year, the additional salary payments will be pro-rata.

Working hours are 35 hours (net) per week Monday to Friday typically from 09.00 – 17.00, with some flexibility. Please note that remote working is extremely limited, due to the nature of the position.

The appointment is subject to security clearance, professional background check and the successful completion of an 4 month probationary period. The starting date may be delayed depending on circumstances at the time and this will be agreed with the selected candidate.

All staff employed by the British Consulate General are subject to Italian income tax rate deductions (IRPEF). However the administration of these tax payments will vary depending on nationality.”

The successful candidate will be enrolled in the Italian State Social Security Scheme. Staff recruited locally by the British Consulate General are subject to terms and conditions of service according to local Italian employment law.
