Job Description (Roles and Responsibilities)

The British Embassy in Cairo is looking to recruit a Protocol Officer, job grade Administrative Officer (AO) on a fixed term contract of one (1) year.

You will be a key member of the Corporate Services Section working closely with the Protocol Manager, Head of Corporate Services, and other embassy staff. The role supports the smooth operation of diplomatic and administrative functions by liaising with external stakeholders such as the Egyptian Ministry of Foreign Affairs (MFA), Immigration Department, Traffic Department, Customs Authorities, Accredited diplomatic missions in Cairo and airport local authorities

Roles and responsibilities:

Visas and diplomatic Id cards management (25%)

  • Obtaining and renewing the residence visas & Diplomatic I/D cards through MFA for all UK diplomatic staff and dependents.
  • Applying for courtesy visas through MFA for non-diplomatic passport holders
  • Obtain and renew residence visas for temporary official visitors’ holders of foreign passports and domestic foreign helpers through Egyptian Immigration Department.
  • Obtain diplomatic & tourist entry visas for all UK-based staff from all accredited missions in Cairo.

– Driving and Vehicle Licensing (15%)

  • Obtaining local & international driving licenses for UK based Staff.
  • Managing and advising the process and rules of issuing and renewing official and private diplomatic car licences annually at MFA, Egyptian traffic department and the customs authorities.

– Airport Access (5%)

  • Handle the issuance and procedures of obtaining annual airport passes for UK based officers and CBS from MFA and airport local authorities.

– Team Leadership (15%)

  • Line management of three (3) messengers.

– Corporate Administration and Other (25%)

  • Assist the Protocol Manager and Head of Corporate Services the issuance of Protocol letters and note verbales.
  • Updating UK based officers’ personal files and diplomatic plates files.
  • Managing the Translation services contract.
  • Backup for the Protocol Manager during absences.
  • Being involved in any post crisis/emergency planning and response.

The above list is not exhaustive, and the jobholder will be required to be flexible and take on other ad hoc tasks as required. The job description may be reviewed to meet changes in business needs.

Essential qualifications, skills and experience

  • Proficiency in Arabic and English. Able to express ideas and messages clearly and concisely, both orally and in written communication.
  • Minimum of 3 years of experience in administrative work in the Protocol field.
  • Minimum of 3 years of experience of line management responsibility.
  • IT literate and well versed in Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Teams).
  • Proven record of organizational ability. Ability to prioritise, organize own workload and meet deadlines while maintaining attention to detail and without compromising the quality of the work.

Eligibility:

If you are selected for this position, the Embassy will be able to employ you as long as you:

  • Have the right to work and live in Egypt; and
  • Receive the appropriate level of security clearance.

Remuneration:

The Embassy aims to offer an attractive working environment and remuneration package for this role, including a non-negotiable gross salary of USD 1,049 per month, subject to insurance and tax as per the usual regulations, based on a 36-hour net per week.

Employees who are not liable to pay local income tax on their Mission salary may have their salaries reduced by the equivalent local income tax amount.

We offer a competitive package including medical benefits, performance related bonus, recreational facilities, opportunities for job related training and development, etc. There are no other allowances payable as part of this package. No accommodation nor relocation expenses are payable in connection with this position.

This role is for a full-time employment, on a fixed-term contract of one (1) year, subject to three (3) months’ probationary period.
