JOB DESCRIPTION

Key Responsibilities

  1. Provide administrative assistance to the Programme Support Unit (identify and track follow-up actions; administrative and procurement actions as required);
  2. Support the operational and administrative aspects of ongoing projects, including use of PRIMA;
  3. When requested, support the National Platform and GR5 Coordinator by facilitating and attending Platform meetings and other relevant agendas (sector meetings, ad hoc working groups, etc.). Ensure meeting minutes are prepared and disseminated to relevant staff;
  4. Provide technical inputs and draft thematic reports and joint products such as situational reports, information management tools, materials, background papers, guidelines, strategies, and other documents.
  5. Support knowledge management regarding the R4V Platform for R4V Brazil and GR5 by backstopping the collection, curation, peer review and upload of relevant content by different units to the R4V Brazil platform and SharePoint.
  6. Support with text editing, proofreading and translation of R4V and GR5 materials and report, as requested, to ensure quality of products and materials.
  7. Provide support to monitor the activities implemented by the sectors. Identify the challenges they face and provide support to enhance their capacity
  8. In support to the IOM Institutional and Inter-agency Coordinator, and in close coordination with the UNHCR team, track the planning and the implementation of the RMRP in Brazil and GR5, maintaining close contact with national and regional sectors and working groups, as required.
  9. Prepare and design the PowerPoint presentations, periodic reports, and other digital and printed documents necessary for meetings or external presentations of the R4V Platform and GR5.
  10. Perform other work-related tasks, as required.

Required Qualifications

Education:

  • High School diploma with at least 4 (four) years of relevant professional experience
  • Bachelor’s degree in political or social sciences, International Relations, Migration Studies, Human Rights, Law or related fields from an accredited academic institution with 2 (two) years of relevant professional experience.

Accredited Universities are those listed in the UNESCO World Higher Education Database.

Experience:

  • Experience in translation and revision of technical and business documents;
  • Experience in technical writing, editing, and reporting;
  • Experience with government, civil society, UN, or private sector actors;
  • Experience with UN operational systems;
  • Experience with knowledge management;
  • Experience with operational and administrative project support;
  • Experience in migration, in either public or private sector, international organizations or civil society.
  • Experienced user of MS Office including working with databases.

Skills:

  • Ability to support the development of project proposals and narrative reports, ensuring compliance with organizational and donor requirements;
  • Strong organizational skills to manage follow-up actions, administrative, and procurement tasks;
  • Attention to detail in editing, proofreading and ensuring the quality of written materials;
  • Ability to assist in developing and delivering training materials for IOM staff on humanitarian systems, internal processes, and donor protocols;
  • Ability to work closely with various units;
  • Ability to identify and resolve issues related to project support and administration;
  • Proactiveness in performing work-related tasks and supporting the team in various capacities as needed.

Languages:

  • IOM’s official languages are English, French, and Spanish.

REQUIRED

For this position, fluency in Portuguese and English is required.

DESIRABLE

Working knowledge of Spanish is desirable.
