The Role

The Finance and Administration Officer will provide operational support to ensure the smooth and effective delivery of Pacific Australia Skills activities in Vanuatu.

The role will:

  • Support the Finance Coordinator and the Assets & Procurement Coordinator with day-to-day administrative and financial functions.
  • Complement Customer Services and other administrative roles by sharing administrative responsibilities and providing cross-coverage.

This position is designed to strengthen the operations team’s capacity, maintain compliance with financial and administrative procedures, and ensure continuity of services to staff, students, and stakeholders. This position reports to the Operations Manager – Vanuatu.

Roles and Responsibilities

Finance Support

· Process routine financial transactions in line with Pacific Australia Skills procedures (e.g., petty cash, invoices, reimbursements).

· Assist with maintaining accurate records for accounts payable/receivable and petty cash.

· Support preparation of reconciliations, cash flow requests, and filing of finance documentation.

Administration & Procurement Support

  • Assist in maintaining updated procurement files and records, including purchase orders, supplier invoices, and service agreements.
  • Support the Assets & Procurement Coordinator with asset register updates, tagging, and filing of asset documentation.

· Assist with logistics for meetings, training events, and procurement deliveries.

Selection Criteria

Essential Experience and Knowledge

  • Post-secondary qualification in finance, business administration, or related field.
  • Demonstrated experience in finance or administration roles in a busy organisational environment.
  • Strong organizational and time-management skills, with ability to prioritize and meet deadlines.
  • Demonstrated ability to work collaboratively as part of a small team and provide cross-functional support.
  • Experience working with financial systems and/or asset management systems.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Understanding of and commitment to Gender Equality, Disability and Social Inclusion (GEDSI), Child Protection, Prevention of Sexual Exploitation, Abuse and Harassment (PSEAH), prevention of human trafficking, environmental protection, anti-corruption and other DFAT safeguarding policies.

Desirable

  • Experience working in the education, training, or development sector.
